Thanks for visiting the Community space, Shannon. I'm here to provide details about changing the payroll method for QuickBooks Online (QBO) payroll runs.

 

Once the payroll run using direct deposit is submitted or processed, it can no longer be changed to handwritten. You'll have to void or delete the paycheck and then recreate it with the updated payment method and other necessary information.

 

Here's how:

 

  1. Go to the Payroll menu, then select the Employees tab.
  2. Choose the Employee.
  3. Under the Profile tab, click the Payment method section.
  4. Click the Edit button. Then, choose Paper check.
  5. Tap on Save.

What about when you process payroll, but have system issues and end up having to write paper checks? For some reason that whole payroll is missing we can't find any record of it.  Where would it have gone?

Thanks for joining this conversation. I'm here to help ensure you can locate your process payroll in QuickBooks Online (QBO).

 

It's possible that the payroll you've processed was not successfully saved due to the issue. This may be the reason why they're now showing in your QBO.

 

To verify this, we can run the Paycheck History report. This will show all the paychecks that were created and recorded in your account.

 

Here's how to pull it up:

 

  1. In QBO, go to the Reports menu on the left pane, then Standard.
  2. Scroll down to the Payroll section or Find report by name from the search field.
  3. Find and select the Paycheck History report.
  4. Filter your report by date range, then hit Apply.

Thank you very much for responding, but I think I failed to mention I'm using QB Desktop. I tried finding the Paycheck History report in the Reports menu, but I don't see it.  Is there a different process for Desktop?

The Community is always here to provide the information you need, wendy0816. Thank you for trying the steps provided by my colleague. Since you're using a Desktop version, you can run the Payroll Detail Review Report to show the payroll history. Here's how:

 

  1. Go to the Reports menu.
  2. Choose Employees & Payroll.
  3. Click Payroll Detail Review.
  4. Double-click an item, then hit the Paycheck Detail tab.

 

You can also tap the Customize Report option to personalize the data you want to display on your report page.
