Can I remove a state that I do not pay taxes to?

I really wish this true, but I, along with what appears to be most of the people in this thread have done just that. Over a year later and multiple calls with payroll support and nothing is done. I usually spend about an hour on the phone only for support to tell me it is being "escalated" and then no follow up & nothing is done. All the while intuit keeps collecting the additional state fees. It is only a matter of time before there is a class action lawsuit about this. It is incredibly bad practice and nothing more than a money grab from intuit. I can't imagine how many millions of additional revenue they are collecting from this. It is not about making sure payroll is "accurate". If it was you would allow these additional states to be disabled, but you don't and payroll support can't or won't disable them. Doesn't matter if you set your work location as correct and mark an employee as "exempt" from the state if you enter a W4 address that is not the same as your work location state it automatically forces you now to set up taxes in that state and starts charging you the per state fee. It creates  other problems too - it now generates incorrect W2s with the state filled in when it should not be. So when anyone from intuit says it is to make sure no taxes are missed and to keep things accurate what is happening is the exact opposite because you are now generating incorrect payroll forms!

I've called and asked many times for the additional state to be removed and it never gets removed!  I am beyond frustrated with this.  I have an actual job to do - I don't get paid to sit on the phone with QuickBooks support all day long every single day asking them to remove something that they never actually do.  Whats even more frustrating is that the employee that has caused all these issues, moved back home and is no longer an employee YET I am still fighting to get that state removed WHEN THE WORK WAS NOT PERFORMED IN THAT STATE!!!!!  I am on the verge of contacting an attorney about the horrible & deceptive practices QB has when it comes to this.  I call and am told it will be removed and I fight about getting refunded and the next month I am still getting charged multi-state fees and I call again just to be told "I'm so sorry this wasn't taken care of for you"...blah blah blah!

My work locations are all within my own state and correct.  That makes no difference to QB billing whatsoever.  Frankly, I am exhausted with having to contact customer support - month after month - to no avail. The employee had an out-of-state address where his parents lived and since June of last year I have been billed for multi-state fees even though it was never necessary.   Not a single person helps or makes the change, as they say they will do.  As someone else stated previously in this thread, this is an obvious money grab by QB which is reprehensible to loyal customers such as myself, who has used QB/Intuit programs for 20+ years.  The one employee who has caused all of this was only here for two months before leaving to go back to his home state - yet I've been paying multi-state for 8 months and being told that it cannot be refunded.  As I said, this sounds like a potential legal issue for QB if they do not provide refunds and ways to fix this.  I am at my wits end and looking into other accounting software because I am tired of paying for services that I never asked for or needed while getting NO assistance from QB's "so-called" customer support!

You are not listening to what anyone is saying on here. You guys are charging for a multi state payroll and making it impossible to turn off the filing support for the state. The majority of the time, the rule of thumb is you are liable for payroll taxes based on work location. You are forcing  quickbooks  payroll clients to opt in for states they have no payroll tax liability in & are charging people for a service they are not using & cannot opt out of even when they call payroll support.  I, again, called payroll support yesterday and asked for all state filings except for the state I am doing business again be turned off. I was assured this would be taken care of and they would follow up with me tomorrow to let me know it was resolved. No word today no confirmation of anything.THIS. IS. FRAUD.

I am having the exact same experience as others in this thread.  It is maddening.  Calling support will NOT fix the issue.  The support representative will say that they are going to remove the state, but it will not happen.  The multi-state charges will continue.  Even worse, the employees W-2's are incorrect at the end of the year.   I strongly believe this is a slam dunk class action lawsuit.   It must be tens of millions of dollars of incorrect billing.

QBO is trying to generate filings for two states now because of employees who are no longer active and have moved out of the state we operate it.  The only Work Location is in the state we operate it.  I don't want to go into the inactive employees and delete the addresses because it feels important to have the addresses.  How do I get rid of the filings for the other states?

I'm here to share more information about filing forms.

 

When filing forms, the system will generate two states since your previously active employee has a different work location. Even if you change their employment status, their profile and payroll history will be saved, but will not reflect on the active payroll list.

They did NOT have a different work location.  There has only ever been one work location.  When they moved I updated their address so their W-2 would be mailed to the correct address and that's when the forms from the other states showed up.

The state payroll taxes that you and your employees must pay are determined by where they live and work. That means, if you try to change the employee's home address, it can affect the employee's payroll tax withholding setup. This may also be the reason why two states are showing when you try to file for your taxes.

 

Furthermore, every situation and state is different and some states have a reciprocity agreement. I recommend contacting your state's withholding and unemployment insurance agencies, as well as any applicable local tax agencies where your employees live and work to see which state you need to pay and file.

The two ex-employees in question both had/have the Work Location set correctly, in state.  They weren't living out of state when they were employees.  Only at some point after they were Terminated or switched to Not On Payroll, were their addresses changed to out of state.

In this situation, your account should be checked in a secure location. This allows us to determine why your employee's work location will change even if their status is Terminated or Not On Payroll. In this matter, you can file the correct forms. 

 

Here's how:

 

  1. Go to the Help menu and select Search.
  2. Choose Contact Us.
  3. Enter your concern in the field and click Continue.
  4. Hit the Start a Chat or Get a Callback button.
  5. Then, complete the needed information and submit the request.

Does anyone else think this thread is pathetically hilarious?

 

Every single so-called employee, moderator or other representative COMPLETELY evades the actual problem by repeatedly spewing out the same irrelevant instructions.... just occasionally attaching screenshots to make it seem like it's somehow different or more effective information!

 

I think they're all chatbots operating with a limited database and absolutely no comprehension skills.  At least I HOPE they are because, if these are real people, it's not just pathetically hilarious, it's simply pathetic.

This thread is a joke. We also have someone who resigned and then moved out of state. We changed their address so their W2 would be sent to them at the end of the year. 3 years later, I still get these reminders that I need to file taxes of 0 with that state. It has always been on manual filing and I just say I filed and archive it. This year QBO says I need to specify the tax deposit schedule for that state here. When I click the link, that state doesn't even appear. WTF QBO? You keep raising your prices and can't fix this?

It is not the experience we want you to have while using the service.

 

We can perform basic troubleshooting steps to see if it is a browser issue. Sometimes your search engine's cache and cookies become corrupted, causing problems when accessing websites or opening files. To begin, open your QBO account in an incognito window. It will prevent the browser history from being saved. Please refer to the following keyboard shortcuts based on your browser type:

 

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P
  • Safari: Command + Shift + N

 

If the private browsing session works, clear the browser's cache so the system can restart. This task is also possible in other supported, up-to-date browsers. Clearing the cache will reboot the system, allowing you to work with clearing the cache. It will also help you get rid of any junk files that might be slowing down your work.

 

However, after performing the troubleshooting steps and the issue persists, I recommend contacting our QuickBooks Online Payroll Support. It allows them to look into your account and confirm the problem.

Just weighing in on this. Quickbooks snuck this in without our knowledge several years ago. In years past, we could check "Do not file" if another state popped up because of an employee's home address. They took this away and began charging us without notifying us. Our statements show up in Quickbooks and payments are pulled out automatically, so several years passed without us catching it. I have called four separate times to get this issue resolved. Last month, we were refunded for the erroneous charges, but then the charge popped right back up on the current statement. The steps they suggest do not work. I have checked work locations even though I knew what I'd find. We have one location and it's in Alabama. That was given as the work location for every single employee.  I have gone into every employee past and present who has a Georgia address and checked "exempt-do not file." The payroll setup in Quickbooks still demands to be set up for Georgia and notices pop up in my task list. On two separate occasions, QB employees have advised me to change the addresses of any employees who live out-of-state. This is poor record-keeping and a ridiculous solution from a multi-million dollar company who claims to help us stay compliant. They don't even follow the tax laws. Georgia does not have a reciprocal agreement with neighboring states and we are not required to file in Georgia. Not one person who works for Quickbooks has had the capability to remove it on their end, so when QB urges you to call customer service to have it removed, they are lying. The employee will walk you through the same suggested run-arounds but none of them actually remove the state from your payroll. At this point, I'm saving a copy of my employee directory and changing Georgia addresses because I don't have the time or mental energy to continue arguing with Quickbooks every month. If anyone pursues a class action suit, I will be happy to sign on.

After more than 10+ hours in calls, changing employee addresses, and removing employees, I followed all of their directions. We were still being charged for States with no employees. I called and asked for a permanent credit to be applied to our account. I suggested 3 options. They rebuild our employee database, fix the states remove the charges (neither of these were an option), or ask for a permanent credit. It is finally sorted out, our billing has been corrected. The fact that this cannot be altered or changed is mind-boggling.

Has anyone been able to resolve this yet ?  I have the same problem but I am only going to start quickbooks online payroll now in January but according to this I should not do it.

Ash - don't do it if you can avoid it!  Especially if you run the possibility of having an employee with an out of state address or potentially moving out of state and having to change their address.  It has NOT been fixed and is still an ongoing issue for many users.  It is ridiculous!!!

NOPE! it has not been fixed! I actually just got off a call with support about another issue (they wouldn’t let me enter the correct UI rate because if fell below 2%) and then the agent noticed the other states and commented on it and boy did I almost lose it. They went back to the same scripted response about work and live locations (total BS) and then chided me for not putting Penidng in the state account numbers it wouldn’t let me remove!!! You can’t actually put pending anymore in there which I told the support person and they couldn’t even do it either! They then said if I wanted these states removed because of this obvious software flaw that I would I have to get letters from each state saying my business was exempt!!! 

To be clear, you do no have to remit employment taxes to states your employees live in, but your business does is not located in!!! It is based on WORK LOCATION, I.e. where the work is performed, but you can argue with payroll until you are blue in the face and they will just keep repeating the same canned response. It is clearly because QB charges a per state fee. You used to be able to turn off the states you did not need to file in, but the second they started charging that per state fee you couldn’t turn it off anymore.
