Can't upload payroll to Intuit

Went to upload payroll, told there is an error. Dig down and told there is a duplicate payroll item. Find that it is Advance Earned Income Credit, a system generated payroll item that can't be deleted. It is not used by any of our active or inactve employees.

Are you able to rename it?  If so, that may resolve the error you're seeing.

I'm determined to ensure you're able to upload your payroll, MDTerp65.

 

Let's follow the solution shared by our All-Star Community Backer. When the payroll feature is turned on, QuickBooks creates payroll items for Federal taxes and Earned Income Credit (EIC) for you. Let's edit the EIC to fix the duplicate error. Here's how:

 

  1. Go to the Lists menu and then select Payroll Item List.
  2. Locate and right-click the EIC, then choose Edit Payroll Item.
  3. Make any necessary changes to the item.
  4. Click Next until you can select Finish.

Thanks for the suggestion. QB will let me rename it, but it throws the same error when doing a rebuild prior to a backup. When I try to delete it, it gives the message "This is a special payroll item, therefore it cannot be deleted".

Thank you for the suggestion. I was able to rename it. When I went to back up the company file, it gave the error in the attached file. This is the same error that we have consistently had. I really believe someone at Intuit needs to do a deep dive into our data to fix the problem. I just can't  get by tier 1 which has consistently been of no help.

Apparently, you can rename it where you view it (in lists, etc) but it doesn't rename the internal name.

Thanks for the suggestion. I tried to rename to visible name and that works. However, when I try to delete it, it gives the same message: that it is a system generated name and cannot be deleted. Making it inactive does the same. Doing a rebuild or verify, it will give me the exact  line number where the error occurs.

When I do a rebuild, it tells me the error is on line 3988.

I'd also feel the same when I encountered errors along the way, @donglenn. Rest assured, I’m here to help you resolve your query about the error messages you’ve encountered, so you’ll be able to get back to business in no time. 
 

I appreciate you following the steps given by my peer above. But since the error messages persist after rebuilding your company file, I’ve got some steps here to help you resolve the problem. We can find and edit those duplicates. Before we proceed, ensure to back up your company file.

 

We can use the QBWin.log file to find the duplicate names. I’ll show you how: 

 

  1. Find QBWin.log or QuickBooks.log files.
  2. Press Ctrl + End to move to the bottom of the file.
  3. Press Ctrl + F to bring up the Find window and find the word "duplicate" in the log.
  4. From there, locate the name, account, customer message, etc., referenced in the error message.

 

Once duplicates are found, we can now edit one of them. For the detailed step-by-step process, follow Step 2 in this reference: QBWin.log: Verify list. Duplicate name encountered.

 

Alternatively, we can locate each item in the Payroll List and Make Payroll Item Inactive. Doing so will remove those items from the list. Please see this sample screenshot for reference:

Finally found the file and did as you suggested. The line said to look in the errors file. Can't find an errors file on my PC. I tried making the payroll item inactive but still get the error when doing a rebuild.

Let’s get rid of this error by trying these solutions, @donglenn.


You can update your QuickBooks software and download the latest payroll tax table to get the full functionality of payroll. It helps prevent issues and make sure you have uninterrupted access to features.


Follow these steps after you get the latest release:

 

  1. Go to the Employees menu, then select Get Payroll Updates.
  2. Select the Download entire update checkbox.
  3. Click Update.


An informational window appears when the download is complete. Then, you’ll need to restart your computer before you redo the process.


If the issue persists, you’ll want to contact our support team. Our representatives can check everything up and find more solutions.


You can generate reports after to ensure payroll data is accurate and error-free.

The payroll is current. Tier 1 had me update it several times but the error still occurs. It is a duplicate special payroll item in my file which can be renamed and made inactive but is still occurring when I try a backup or rebuiild.

Can't upload payroll to Intuit

I have been on phone with tech "support" for approximately 10 hours. Last time, it was 2.5 hours. She was talking to Tier 2 and Tier 3. No one knew how to handle it. Tier 2 was observing my actions. The tier 1 person was very sincere and really tried to help. She offered a link, userid and password to upload my file. Canned message without a lot of instructions. I could enter the file names into a box but wasn't a "Upload" or "Send" icon to press. I ended up completely building a new company file without any employees, then manually entering the 16 employees and 6 months of pay and taxes from 1/1 to 6/30. Not a fun task but it seems to have solved the problem. Been lied to and hung up on several times by Tier 1 "support". This is not a "stupid user" error, I know myself around QuickBooks (having taught it at the college level and used since 1997).
