Buy now & saveI mistakenly entered a new employee SSN incorrectly. Found my mistake and corrected it, before any tax issues. However, now he cannot access his pay check stub when I email them out. What makes it update to the correct SSN ending digits? Or is it going to be stuck incorrect forever?
Ensuring seamless access for employees to their paycheck stubs is crucial as it helps prevent inaccuracies in tax submissions, thereby avoiding potential legal consequences and penalties. Let me explain why your employee is unable to access their paycheck stub.
The issue stems from a recent update to the employee's Social Security Number (SSN) that didn't synchronize with the employee's existing login credentials in the system. As a result, the access credentials are now outdated, preventing the employee from logging in and viewing their paycheck stubs.
To resolve this issue, I recommend contacting our live support team. They are well-prepared to assist you in first updating your payroll profile to ensure all details are correctly updated. This step is vital for restoring your employees' access to their paycheck stubs, enabling them to efficiently manage their financial records.

@LouiseG "As a result, the access credentials are now outdated, blocking the employee from logging in and viewing their paycheck stubs."
They're almost certainly referring to the encryption that QB performs on the stub PDFs that are e-mailed directly to the employee's e-mail address.
There is no login required; the password isn't generating properly for the encryption.
Correct.
I just need the password updated as required when he is opening his pay check stub from his email... the assigned QB ones. Like do I need to manually reset it somehow? Or do I need to push the corrected data somehow to that encryption side of things?
@Dena2025 Unfortunately, I've never ran into this specific situation; as far as I know, it should source directly from the employee's social security field every time.
That said, @BigRedConsulting is probably your best best when it comes to the guts and bolts of QuickBooks. They have a side racket of making extras for QuickBooks to bypass its... let's say, programming quirks.
Here's hoping they notice the poke and chime in.

I love poke, so I'll chime in!
Each time you email pay-stubs, each employees' current last name and SSN is used to create the password for the PDF file attachment. If you change the employee record, the sent pay-stub passwords won't change, but new ones you send will use the new information, following these rules:
So, the employee should be able to open past pay-stubs using the wrong SSN that was on their record.
Optionally you can send the employee a recent history of pay-stubs again with the new SSN as part of the password.
