Difference between employees and vendors when adding hours worked on paycheck

I use QB Desktop 2021 but use a third party payroll service. Some workers I pay as employees and some as vendors. Hours worked for both are entered on weekly time sheet. When I enter a check for the vendors it asks if I want this check to represent hours worked.

However, when I enter a check for employees it does not give that option even though on the employee information it is checked where it says 'use time data to create paychecks'

Not a big deal but for employees I have to run report for hours worked which takes more time.

Difference between employees and vendors when adding hours worked on paycheck

Good day, @KC.

I understand the need to enter the working hours of your employees and vendors seamlessly. This way, it'll be easier for you to track them for their paycheck.

Since you're using a third-party app for your payroll, you'll need to set up manual payroll in QuickBooks Desktop. This could be the reason why you're unable to enter a check for your employees directly.

Before enabling this feature, make sure you have the latest release installed on your QBDT. Please take note that you need to calculate your payroll taxes and file them on your own.

Once done, follow the steps below:

  1. From the Edit drop-down menu, select Preferences.
  2. Select Payroll & Employees, then click the Company Preferences tab.
  3. In the QuickBooks Desktop Payroll Features section, press the Full payroll and Manual Payroll checkboxes.
  4. Select Next in the Get Payday Peace of Mind window, and then activate on the confirmation screen.
  5. Tap OK to apply the changes.
  6. Press OK to exit out of the preferences window.

See this article to learn more about running payroll manually in the program: Set up manual payroll without a subscription in QuickBooks Desktop.

In case you need to create a journal entry for your payroll, refer to this guide: Create a journal entry in QuickBooks Desktop for Windows or Mac. I also recommend seeking an accountant's advice about this. This way, we can ensure that they're added into the system properly.
