E-filing Employer W-2 and W-3 in NJ for Employee With No SS #

Hi,

I'm attempting to file 2023 New Jersey State W-2's and W-3 using QB Desktop and one of the employees does not have a SS # but an ITIN number instead.  QB won't allow you to file with the state of NJ using the all 0's SS # and it won't let me file with the ITIN number either (it won't even let me enter the ITIN number within the system).  This employee has left the company and likelihood of obtaining a SS # (if he even has one by now) from him is virtually nil.  Does anyone know a way to file through QB so that this employee is included?

We recognize the importance of e-filing W-2 and W-3 for your employee With No SS number in QuickBooks Desktop.

 

QuickBooks Desktop 2021-2024 Payroll already allows entering all zeros as an employee's Social Security Number (SSN) when the number is unknown or has been applied for, as per Social Security Administration (SSA) guidelines. However, to comply with regulations, it is important to collect the name and Social Security number of each employee.

 

Their information is used to complete the W-2 form and, in many cases, the State Unemployment Insurance tax forms. At the end of the year, it is necessary to send a copy of the W-2s to the Social Security Administration, where names and Social Security Numbers are verified for accuracy. It is important to note that those with an Individual Tax Identification Number (ITIN) are not eligible for U.S. employment.

 

Therefore, an ITIN cannot be used in place of an SSN for employee identification or for work purposes. ITINs are only issued to non-US citizens and residents who are not eligible for U.S. employment but require identification for other tax purposes.

How to get a call or chat from us

 

  1. Access QuickBooks.
  2. Go to Help, and select QuickBooks Desktop Help/Contact Us.
  3. Select Contact Us.
  4. Provide a brief description of your issue, then click on the Continue button
  5. Sign in to your Intuit account and select Continue, then click on Continue with my account.
  • If you don't already have an account, make sure to Create a new account.

      6. We'll email you a single-use code. Enter your code and select Continue.

  • If you have more than one account, select the account you want to use and then Continue.

      7. Select to chat with us or Have us call you.

 

Note that phone support may be limited due to volume.

 

After successfully filing the forms, you can print them to send copies to your employees or for your records. And ready to prepare your payroll and tax forms.
