Employee Request to Increase withholding using W4 2020

A client's employee has submitted an updated 2020 W4 to increase their federal withholding. When I go to update the 2020 W4 in Quickbooks Desktop, the form W-4 entry line is grayed out.  I can see "2020 and Later" but it is grayed out and does not allow access when I click on the down arrow. 

 

Is there some other place in Quickbooks desktop that allows an employees 2020 W4 withholding to be increased/updated?

Hi @CLICPA,

 

I can share insight on how you can proceed with updating the W-4 information for your client's employee. 

 

First, I suggest you update your QuickBooks Desktop (QBDT) to the latest version available. If you wish to make this process automatic, follow the steps below:

 

  1. Go to the Help menu.
  2. Select Update QuickBooks Desktop.
  3. Click the Options tab.
  4. Choose Yes for the Automatic Update option.
  5. Press Close when done.

Right after, I suggest you update the payroll tax table as well. See this article for more details: Latest payroll news and updates

any update or fix for the issue? We are having the same problem with the greyed out W4 selection. Our QB desktop and payroll files are all up to date.  Thanks!

I'm here to help make sure you can enter your employee's W-4 information.

 

Your company file may be damaged that's why the W-4 option is greyed out. Since your QuickBooks Desktop is already updated, let's run the Verify and Rebuild Utility tool to help fix data damage to your company file. Here's how:

 

  1. Go to the File menu, then select Utilities.
  2. Click Verify Data and select OK to close all windows.
  3. Then, go back to the File menu.
  4. Select Rebuild Data under Utilities.
  5. QuickBooks will ask to make a backup before rebuilding your company file, select OK.
  6. Once the rebuild is done, click OK.

 

If you get the same result, I recommend contacting our QuickBooks Support Team. This way, they can further check on this matter and provide additional troubleshooting steps to get this resolved. They can also create an investigation ticket if other users are experiencing the same.

 

Once everything is set up, you can now assign pay schedules to pay your employees in QuickBooks. This helps you manage your payroll and make processing more efficient.

thanks, I did what you recommended and the W4 box is still greyed out. I'm going to block out some time to call support tomorrow.
