My firm purchased perforated W2 forms and window envelopes from Intuit. when folded along the perforation, some employee's SSN's show thru the envelop window. I know SSNs can be truncated/masked, but shouldn't Quickbooks look into redesigning the W2 so that the SSN can not show thru the envelope?

looking at the design of the W2, I see no reason why the employee SSN can't easily be moved so that it is nowhere near the see thru part of the envelope. In light of rampant identity theft, and required protective measures from government authorities such as the IRS, Intuit should address this issue.
Providing the best experience with the product is what we are aiming for, RB68.
I know how beneficial it is to redesign the W-2 so that the Social Security Number will not show through the envelope. I'll take note of this and send feedback to our product developers. They add new features based on suggestions from our customers.

This has been a problem for years. I process multiple companies W2s and I have been putting a piece of tape on the W2 to hold it in place for the last 3-4 years. I had more than one employer complain that you can see the social security number. Poor design. I have called more than once, but it never changes.
How do I truncate the SS number? I have tried to go to Preferences, Pay Stub & Voucher Printing and unchecking employee social security number and only checking the "last four digits box". This does not work, it still prints the full SSN on the W2. Am I doing something wrong?

There's isn't anything wrong with what you stated above. At this time, the option to truncate an employee's Social Security Number on a W-2 form is unavailable. I can see how helpful this feature can become for our users. With that said, we'll take note of this.

I'm concerned that this is still an issue 3 years after the original post, maybe the QB team can escalate the problem, so their customers could get a solution. I hand most of my employees their W2s in person, but when I do have to mail them, I worry about the risk.
I have the issue this year of the W2 envelope being slightly bigger so the window that shows the recipients name and address also shows their wages and the employer state ID. We order the same envelopes every year....before it was social showing up top now this in the bottom window. Unacceptable.

And...in 2024 the same issue remains. I don't understand why the folks that make the envelopes for QB doesn't modify the envelope to cover the SSN. I have, for years now, had to resort to putting a return mailing label over the employer infomation so that it also covers the SSN just so I could mail the forms. TOTALLY unacceptable that we purchase forms and envelopes that supposedly go together YET they don't cover confidential info.
I agree. I have found no way to truncate the SSN or adjust the forms so that they will fit correctly to the envelopes. We need to either be able to align a blank form like a preprinted form, or allow us to truncate one of the forms on the W2 sheets so that we can at least mail them without extra work. I am a coder as well as a user, and I have found no way to get around this, I have played in Adobe as well and it doesn't work without having to manipulate every form to adjust the alignment, which again wastes time we don't have.
