If you want your employees to track their own time and expense claims within your QuickBooks Online (QBO) Advanced account, you can set up time tracking and add them as users. I’m glad to show you the steps:

 

  1. Click on the Gear icon, then select Account and settings.
  2. Go to the Time tab.
  3. Choose if you want basic time tracking or a QuickBooks Time account with more time tracking features. Either way, you can access timesheets from QBO.
  4. Select Get Started.


Once turned on, follow the instructions outlined below to add a Time Tracking user.

 

  1. Go back to the Gear icon and select Manage users.
  2. Tap Add user.
  3. Select Time tracking only.
  4. Click Next.
  5. Find the employee you want to add, then select Next.
  6. Enter their contact info and save.

On the other hand, if you have another application for time and expense claims and you'll want to integrate it with QuickBooks, you can visit our Apps Center or your Apps menu to find a tool.


Here’s how:

 

  1. From your left pane, click Apps.
  2. Enter a keyword on the Search field, then select the app.
  3. You can click the Overview, Pricing, Reviews, and FAQs to view the features.
  4. Select Get app now one decided.

This does not answer what I asked.  Once an employee is set up to track time & expense claims, is there an APP the employee can download on their phone so they can enter in their time and send in their receipts?

Thanks for reaching back out on the thread. Allow me to point you in the right direction to get an answer to your question. 

 

To clarify, are you using QuickBooks Time or only QuickBooks Online? 

 

If you're also using QB Time, your employees will be able to enter time through the QB Time mobile app. Check out this guide for more details: Track and manage time

 

If you're only using QuickBooks Online, your employees will need to enter their time through the web browser. Review this article about entering time in QuickBooks Online as a future reference.

I was reading this thread because having a similar issue.

We use QuickBooks Time.

Have everything set up to track time, but can't figure out how our people can attach receipts to the jobs they clocked in on. We've used the "attach photo" feature, but they do not show up on the dashboard when processing timesheets.

Let me share information on how you can allow your employees to attach images to their timesheets.

 

A QuickBooks Time Kiosk will let your team add photos when they clock in/out. This way, you can view their timesheet with corresponding kiosk photos.

 

Here's how you can add the Kiosk feature:

 

  1. Sign in to your QuickBooks Time as the admin.
  2. Proceed to Company Settings, then Time Options.
  3. Select Date & Time.
  4. Choose your time zone from the Time Zone dropdown.
  5. Select Save, then close the window.
  6. Go to Feature Add-ons in the left menu.
  7. Choose Manage Add-ons.
  8. Utilize the search bar to look for Time Clock Kiosk.
  9. Select Install.

Hello - I am also interested in the original question. We have QBO Advanced and our employees currently use the Workforce App (formerly Quickbooks time/Tsheets) to track their time.  I would like for them to be able submit their business receipts/ expenses and have provided permissions as an expense submitter in my user roles, but don't see anywhere on the Workforce app where they can capture receipts to submit.  Can this only be done on the desktop or is there a way to add it to the App?

I can see that you and everyone's businesses have a definite need to submit business receipts or expenses to the jobs your employees have clocked on when using the QuickBooks Workforce App. Let me share information about this matter.

 

Since QuickBooks Time tracking software allows you to track employee work hours, schedule staff shifts, and monitor productivity easily, submitting their business receipts/expenses through the app is unavailable. You can enable this option in your QuickBooks Online Advanced account, so they can attach their expense claims to your file.
