Hi, to print my W-2s on the preprinted forms, do I need to tear off the tab and print each sheet separately?

Thank you for reaching out to the Community about your concern about printing your W-2 forms, Bill1963. I'm here to help and ensure you accomplish the task in just a few clicks.

When you print your W-2s on preprinted forms in QuickBooks Desktop (QBDT) payroll, you don't need to tear off the tab and print each sheet separately. Instead, you can load the forms into your printer to print them.

The payroll service will automatically align the data on the forms and print them correctly. Let's just make sure that you have the correct type of preprinted paper and your device is set up correctly.

Here's an article that goes over the process in detail: Print your W-2 and W-3 forms.

In the event you encounter hurdles while printing, the following resources contain solutions on how to troubleshoot the issue:

Keep in touch if you have other printing concerns or questions about filing your state and federal forms. I'm more than happy to respond to them. Have a great rest of the day, Bill1963.

But the forms with the tab still attached are wider than my paper tray.  How do I fix that?

Hi there, @Bill1963.

Let me share info on the reasons why the forms with the tab attached are wider than your paper tray.

First, the printer you're using might be the issue. The printer setting isn't set up correctly or your printer driver isn't updated. If so, I recommend checking the setup of your printer and updating your driver before printing again.

For the second one, you purchased the form outside Intuit. An outside form will still work in QuickBooks. However, when printing, the formatting and alignment might be different from the one you expect to see.

I'll share this link where you can check forms under Intuit: https://intuitmarket.intuit.com/

You might want to print multiple forms in QuickBooks Desktop (QBDT). Feel free to read this article: Batch print forms in QuickBooks Desktop.

If you have additional questions about printing forms, don't hesitate to reply to this post. Keep safe and have a good one.
