how do I create prior period form 941 using pre-filled tax forms

Hi there, @melina1908. Are you filing a late tax return, or are you doing a correction from past filings?

If you're filing a late tax return for a prior period, please note that QuickBooks Online (QBO) Payroll doesn't support creating pre-filled prior-period 941 forms if they weren't originally run in our system.

However, if the data is available in QBO, you can go to All Apps > Payroll > Payroll taxes > Payments. You can find your 941 form there, showing it is overdue. Then, click Pay.

But, if you need to add or change a prior tax payment that's not listed there, see this article: Add or edit a prior tax payment. After this, e-file your 941 form.

If you are correcting a filed 941 form in QBO payroll, you'll need to request an amendment for your payroll taxes directly in our system. The first step is to determine if you need to fix your payroll. You can find the most common reasons for payroll corrections below:

  • Underpaid employee
  • Overpaid employee
  • Paychecks not recorded
  • Changes to employee or company contributions
  • Uncashed paychecks(escheatment)
  • Replacement for lost or destroyed paycheck

Then, based on the information you need to correct, pick the best way to fix it. You can check this article to learn about the process for fixing it and the steps involved in petitioning for correction: Request an amendment for payroll.
