This is a great step towards streamlining your tax reporting process for filing e-file Form 941 and enabling electronic filing for your 941 and 940 reports. Let me walk you through that process and provide the steps and options to ensure that you can file these forms electronically with ease. 

 

First, ensure you have QuickBooks Desktop Payroll (QBDT Payroll) for easy filing. If you're using QuickBooks Desktop Payroll Basic/Standard, check this article: Pay and file your payroll taxes and forms manually in QuickBooks Desktop Payroll

 

Step 1: Set up your federal filing method:

 

  1. Go to Employees, select Payroll Tax Forms & W-2s. Then select Process Payroll Forms.
  2. From the Other Activities list, hit Manage Filing Methods
  3. Choose Filing Methods. Click a federal form (Federal 941/944/943 or Federal Form 940), then select Edit.
  4. Under “Select how you want to file the Form…”, choose Filing As Responsible Individual (Owner/Partner/Corporate Officer) for a single FEIN
  5. Click E-file, then select Finish.

 

If you haven't enrolled in the IRS e-file program, proceed with the following steps for more details on Step 2: Enroll in the IRS e-file program.

 

Once done setting up, here's how to e-pay in QBDT Payroll:

 

  1. Go to Employees, then choose Payroll Center
  2. Select the Pay Liabilities tab. 
  3. In the Pay Taxes & Other Liabilities section, click the liability to pay, and select the View/Pay button.
  4. Review the liability details for accuracy.
  5. Hit E-Pay.
  6. In the E-Pay Login window, enter your 4-digit EFTPS PIN and other login information.
  7. Note: If you have recently changed the bank account for your e-payment, use your new PIN.
  8. Choose Submit.
  9. You can print the confirmation notice that appears, indicating that Intuit has received your request and will submit your e-payment to the correct agency.
  10. Select Close.

 

Once the federal filing method is set up, follow the process for e-filing your federal forms. Refer to this article for detailed steps: E-file your federal forms.

 

I also recommend downloading the latest tax table update every time you pay your employees, or at least every 45 days. This is to ensure your payroll has accurate information.

After completing each of the steps covered in ZuzieG's post, you'll be prepared to e-file 941 forms in QuickBooks.

 

Here's how to e-file 941 forms:
 

  1. In your top menu bar, go to Employees, Payroll Tax Forms and W-2s, then Process Payroll Forms.
  2. Choose the federal form you need to file from your list.
  3. Click Create Form.
  4. Specify a form filing period and hit OK.
  5. Review each part of the form for accuracy. You can use Check for errors, then make any necessary corrections.
  6. Select Submit Form, then E-file.
  7. Enter your 10-digit IRS Efile pin and follow along with the onscreen instructions to continue filing your form.

 

After e-filing 941 forms in QuickBooks, you'll receive a confirmation email within 24-48 hours. You can find detailed steps for checking its status by reviewing our Check e-file or e-pay status article.
