@lisaveiga  RE: It is illegal to hire someone without the proper identification.

 

Yes, but there is a case for immigrants where they are awarded the right to work but they do not yet have an SSN. They will have other papers, though (not sure what they are...)  Rumor has it the SSA is taking up to a year or more to issue SSN's in these cases.

Are you saying that if we log into the account's copy of our QB that we can input the [removed] and submit our taxes electrocially?

I'm an accountant and have the "accountant's version" if you send your accountant a copy of the QB file, they should be able to do it.  BUT I was still able to get it to work on my clints computer - not for tax filing, but vacation entry.

Can you give instructions on how to pull the file out of Quickbooks.  What we are pulling doesn't seem to have any federal information on it?

I would add the employee - put in a fake SS number, then go to Employee's "Payroll Set-up" in that function we were able to enter an ITIN and or [removed], in order to file the W2's.  The ITIN was fine for the State tax filings.

Yes, instructions are included with the tool. On the main window, click the Instructions button. 

 

Here's the first step:

Step 1: Export an IIF file from QuickBooks containing your employees. Start at File | Utilities | Export | Lists to IIF Files... Then select the Employee list and create an IIF file.

Does anyone know if this is fixed for this year?  or do we have to run through hoops to fix ssn's with 0's?

Yes, @Nicolet31. Addressing issues with SSNs that contain zeros involves a labyrinth of additional administrative procedures and potential corrections to tax documents.

 

However, Intuit has simplified this process significantly. Our latest update permits the entry of all zeros for Social Security Numbers (SSN) as of January 18, 2024, ensuring full compliance with Social Security Administration guidelines for instances where an employee's SSN is unknown or pending.

 

To make sure you're taking advantage of this new feature, I recommend manually checking for the latest software release:

 

  1. Navigate to the top menu bar and select Help.
  2. Choose Update QuickBooks Desktop.
  3. Click on Update Now, followed by Get Updates.

 

After the updates are downloaded, close and reopen QuickBooks to complete the installation.

 

By confirming that you're operating with the most current release, you'll be able to use all zeros for employee SSNs.

That's completely nonsense.  First, lots and lots of SSN's contain zeros. Mine does.  Second, yes of course if you file a W-2 with "applied for" as the SSN, then there will likely be followup.  But that is not "additional": It's actually rather basic how it works.
