How to delete employees

I have two ways on how you can delete an employee in QuickBooks Online, @bshukas.

If you added an employee to payroll on accident or doesn't have pay history or any paychecks, you can simply remove their profile. 

Here's how: 

QuickBooks Online Payroll

1. Go to the Payroll menu and select the Employees tab.
2. Choose the employee's name. 
3. Click the Edit Employee button.
4. Select Delete employee.
5. Once done, click Yes to confirm the deletion.

Intuit Online Payroll

1. Select the Employees tab.
2. Select the employee's name. If the employee is currently not active, select All Employees from the Show drop-down list.
3. Select Delete this employee.
4. Select Delete to confirm.

If your employees have paychecks or pay history, QuickBooks won't let you delete employees. This is to keep your records accurate. What we can do is to give an employee their final paycheck, and change their employment status.

Here's how: 

QuickBooks Online Payroll

1. Go to the Payroll menu and choose the Employees tab.
2. Select the employee's name. 
3. Click the Edit ✎ button next to Employment.
4. From the Status dropdown, choose Terminated or another appropriate status: Paid Leave of Absence, Unpaid Leave of Absence, Deceased. You can also choose Not On Payroll if you layoff or furlough an employee
5. Select Done once finished.

Intuit Online Payroll

1. Choose the Employees tab.
2. Select the employee's name. 
3. In the Employment section, select Edit.
4. From the Status dropdown, select Terminated or another appropriate status: Paid Leave of Absence, Unpaid Leave of Absence, Deceased. Choose Not On Payroll if you layoff or furlough an employee.
5. Once done click OK.
