I need to edit payroll entries- add checks for employees that i paid without running payroll through my system?

Good day to you, @allwillster. I can certainly provide you with some steps to edit or correct your payroll checks in QuickBooks Online (QBO).

 

Based on your scenario, it seems that you have already generated an initial payroll run from QBO and have paid other employees' payments through checks. If so, you can follow the set of steps that apply to your preference.

 

If you want to record it under your employee profile, you simply run payroll separately using paper checks to save it instantly into their account.

 

However, if you want to include it in that specific payroll check, you can directly edit it if you've used paper checks when running it. Here's how you can edit it:

 

  1. Go to the Payroll menu, then Employees.
  2. Click the Paycheck list.

  3. Choose the paycheck(s) you'd like to edit, then select Edit.

  4. Make necessary updates to the amounts.
  5. Click Save to complete the process.

 

On the other hand, if you've used direct deposit for your previous payroll entries, you'll have to delete and recreate them correctly using paper checks. This way, you'll be able to report their payroll and tax info to the appropriate agencies on time. Just update their payment method to paper checks temporarily.
