Miskeyed Social security number

I miskeyed an employees social security number. This is the employees’ first direct deposit. I ran payroll. The employee contacted me and shared he couldn’t access his paycheck stubs. Upon checking I realize I miskeyed his social. I corrected this but had run payroll about 7 hours prior. Will his paycheck be rejected? Do I need to do a paper check or did updating the social security number update the file sent with his direct deposit?

Let me provide you with the information about processing direct deposit (DD) paychecks in QuickBooks, Boatesmba2.

 

I appreciate you for making corrections to the employee's social security number. The direct deposit scheduled to offload is exactly 5 PM Pacific Time two days before the paycheck date. If you need to make any changes to the direct deposit paycheck, we'll need to void the payment you already sent before the offload schedule.

 

If you are using QuickBooks Desktop, follow the steps below to void a direct deposit paycheck: 

  1. Click the Employees on the top menu. 
  2. Select Edit/Void Paychecks.
  3. Change both Show paycheck dates from/through dates to the date of the check.
  4. Select the paycheck you want to void. Then, click Void.
  5. In the pop-up box, enter Yes and hit Void
  6. Select the checkbox saying you agree to the terms and conditions of voiding the paychecks.
  7. Repeat the previous steps to include all checks that need to be voided.
  8. Once the check has been voided, close the Edit/Void Paycheck window.
  9. Click Employees at the top menu bar, and select Send payroll Data. Then press Send

They also have the tools to trace the direct deposit and will advise you if there's a need to create a paper check.

As far as I know, using the wrong SSN won't cause a DD paycheck to be rejected by the recipient's bank.  The SSN isn't included in the ACH DD order to the bank, so they have no way to reject it based on the SSN.

 

Generally, as soon as you discover the SSN or other information is wrong, fix it in QuickBooks and then continue. If you have filed tax forms with the wrong SSN, then you'll need to fix that, but it doesn't sound like you've done that in this case.
