Hi, @Kelly W1. I'm here to help.

I understand that you're experiencing an issue where QuickBooks Desktop (QBDT) is adding additional zeros to your Nebraska state ID number on your W-2 forms, and you are also encountering incorrect employee information from the previous year within a text file.

First, to resolve the issue with QBDT adding zeros to the state ID number, I suggest ensuring that your Payroll is up-to-date (version 22404). After that, you'll need to update your State ID number from the payroll item lists.

Next, for the issue with last year’s employee information appearing in the text file, it's possible that QuickBooks is fetching outdated information from a saved form or previous submission. You can address this by following the steps below:

  1. Go to the Payroll Center, then navigate to the File forms.
  2. Look for the W-2 form with an issue and check if it's pulling the correct data from your current employee payroll information.
  3. If you see outdated information, you might need to manually update or correct the data.
  4. Save your changes and ensure the information aligns with your current year’s employee payroll details.

If the payroll update does not resolve them, I recommend contacting Desktop Payroll support. They have the necessary tools to help identify the cause of the issue.

We're always here in the Community should you have further concerns about updating W-2 forms with correct information in QBDT. Take care.

I spent over an hour trying to fix this for 3 w2's.  It is updated, that was the first thing I did and my number is correct, that was the second thing I did. For some reason the form is adding zeros to the beginning of the txt file. It is correct in the interview portion and in quickbooks.  I also redid the w2 efile form about 8 times trying everything I could think of to fix the issues and each time the first form in the txt file was pulling information from 3 years ago into it and it kept adding zeros in front of my NE number. Last year I couldn't efile either. Last night I finally gave up and mailed it, far too much time was wasted on trying to get it to work. I am hopeful that next year I can do this in the less than 5 mins it should take.

I stand corrected, on the first form it is pulling employee information from 2 years ago not 3. This is the form being created at the bottom of the file forms area where it says to efile state w2.  All the other pages show the correct information except for the added zeros not being accepted by the state of NE and saying we dont exist. I have been able to efile everything else with my employer number.
