I have new employees and I want to generate a calendar or at least a list that outlines our payroll schedule. How do I generate one that is downloadable/printable for employees?
Hello there, RedTopConstruction.
I can share some tips on how you can obtain and print that information.
The option to generate a printable payroll calendar is unavailable in QuickBooks Desktop. If you need a list that contains the payroll schedule of your new employees, you can run the Employee Contact List Report. Here's how:
Additionally, here's a reference that you can check to help manage your payrolls and keep track of employee expenses: Customize payroll and employee reports.

That isn't the same thing as a payroll calendar that shows employees when our pay periods are and when they get paid.
Glad to see you back in the Community, @RedTopConstruction. I can share more details about this feature in QuickBooks Desktop (QBDT).
I understand how important it is to have a view as a calendar, to show the pay dates to your employees. However, this feature is currently unavailable in QuickBooks. I recommend utilizing a third-party application that is integrated into QBDT.
You can visit desktop.apps.com to check which app has the feature you're looking for. You can follow the app's instructions to link it to your QBDT account.
In addition, you can also use the Excel app and enter the pay dates manually to look like a calendar. Then, save it as a pdf or jpeg file so that your employees can access it using their phones.
I'll be around if you have other questions or concerns. Please don't hesitate to reply in the comment section. I wish you continued success in your business. Take care always!
I'll share with you some insights regarding the payroll calendar feature in QuickBooks Online Payroll, @Richmond group home.
I recognize how significant it is to have a calendar view to show your employees' pay periods. However, QuickBooks doesn't support this feature currently. I recommend using an integrated third-party application with QBDT.
You'll want to check which app has the feature you're looking for, you can visit the Intuit Marketplace. Link your QBO account with the app by following the app's instructions.

Has QuickBooks Online Payroll added functionality to see a payroll calendar yet? This seems like an essential feature for any business providing payroll services. It is shocking that I have to create this manually using the limited information available within the system for users.
Hi there, @rgl3.
I see that you'd like to have an added functionality to see a payroll calendar in QuickBooks. Let me share insights about this.
This is a valuable consideration, and I'm here to discuss how we can address this to enhance our service. While it's currently unavailable in QuickBooks Online, we're actively looking into ways to implement such a feature in the future.
To ensure it receives attention from our product engineers, I suggest using the feedback option, enabling us to enhance the program's features accordingly.
Here's how:
In the meantime, you may consider visiting our App Store. Then, look for a third-party app that integrates well with QBO and allows you to create a payroll calendar. You can also do this inside your company by going to the Apps menu on the left panel.
Additionally, I'll be sharing this link to help you generate, print, and customize payroll reports in QuickBooks Online Payroll: Run payroll reports. These reports provide detailed information about employee compensation, taxes, benefits, and other relevant data.
If you have any further thoughts or queries about the payroll calendar, please don't hesitate to reach out. We're here to listen and collaborate with you to enhance your experience with us.
it is shocking to have to do something as easy as a third party app to have a calendar.
