I'm here to assist and share steps to resolve the message that prompts you to download a payroll update.
This error is usually caused if there's a paycheck that's stuck in the "Online to send" status for more than 30 days after it was created or modified.
To start troubleshooting, make sure to update QuickBooks Desktop to the latest release and create a backup copy of your QuickBooks Desktop company file.
Then, follow these steps to send your payroll data or usage data:
- Go to the Employees menu, look for My Payroll Service, and then click Send Usage Data or Send Payroll Data.
- In the Send/Receive Payroll Data window, click Send All.
- Enter your payroll service pin if prompted.
If the send is successful, get payroll updates again. Then, check if you're no longer receiving the same message and if the taxes are now calculating.
If the send is unsuccessful, proceed to these steps to identify the stuck paychecks:
- Go to the Edit menu, then select Find.
- Proceed to the Advanced tab.
- In the Choose Filter section, select Detail Level from the list of filters.
- Select Summary Only.
- Go back to the list of filters. Then, scroll down and select Online Status.
- Choose Online to Send, then click Find.
If you see paychecks that aren’t sent to Intuit, you'll need to toggle them so you can send the data to us. Here's how:
- Open the oldest stuck paycheck and click the Paycheck Detail button.
- In the Review Paycheck window, proceed to the Earnings section and the same earnings item as the last earnings item in the list. Example: If the last item in the list is Hourly Rate, add another earnings item named Hourly Rate to the list.
- A Net Pay Locked message will appear. Select No.
- Make sure that there are no changes to the tax amounts and net pay. Select OK.
- If you receive a Past Transaction message, select Yes.
- Select Save & Close to close the paycheck.
After that, reopen the transaction and remove the item that you added. Repeat the steps for each paycheck. Once done, download another payroll update.
