Thanks for visiting us today, @jody125,
I’ll be happy to provide some information on how to correct a duplicate payroll.
If you created the paychecks manually, you have the option to delete the one created in error. Here's how to delete a paycheck in QuickBooks:
- Go to the Employees menu.
- Choose Employee Center.
- Click the Transactions tab then select Paychecks.
- Double-click the paycheck you need to delete.
- Click the Delete button at the top of the transaction.
- Click OK.
However, if you created a Direct Deposit transaction, there are a few things you need to consider. You can only void a DD paycheck if the status is still pending and not yet offloaded. To check the status, follow the steps below:
- Click the Employees menu.
- Choose My Payroll Service.
- Select Account/Billing Information.
- Sign in using your Intuit Account Login
- Click the View Payroll Activity in the direct deposit section
- Enter your Direct Deposit PIN and look for the payroll transmission status.
If the status shows Pending, you can still void the transaction to stop the Direct Deposit. Here's how:
- Go to the Employees tab.
- Select Edit/Void Paychecks.
- Select the correct date range.
- Click the employee name then click the Void button.
- Click Done.
Once done, send the voided check to Intuit:
- Go to the Employees tab.
- Choose Send Payroll Data.
- Select Go Online and enter your Direct Deposit PIN.
- Click OK.
If the status shows Offloaded or Completed, we're unable to cancel or stop a Direct Deposit that's already processed. Here are several options you can try:
- Wait until the amount is deposited to your employee's account.
- Process a paper check, and do an internal agreement with the employee to return the Direct Deposit.
That should rectify the problem, @jody125. You might find these articles helpful:
