QBO E-File Status for W-3 says Available

Why does my E-File State for the w-3 says Available. If I click on view it says it was filed? Why doesn't it says Accepted like it does for 941 and 940?

QBO E-File Status for W-3 says Available

Good to see you here in the Community, peg1229.

 

When you successfully submit your W-3 payroll forms in QuickBooks Online, the program will display the status Filed. The only time the status will change is if the forms are received and accepted by the State agency.

QBO E-File Status for W-3 says Available

Thank you for your previous reply.

 

Now the W-3 does not show at all in the filing history. However, the W-2s showed as filed. How can I get confirmation it was filed or is there a problem?

QBO E-File Status for W-3 says Available

I appreciate you for getting back to us, @peg1229. Let me shed some light on e-filing your W-3 forms in QuickBooks Online (QBO).

 

If you send your W-2s electronically, we don't need to file a W-3 with the Social Security Administration (SSA) because it files along with the W-2 forms. These forms will be available for viewing approximately 35 days after the end of the quarter. This way, we can determine when a payroll form is filed or not.

 

To do that:

 

  1. Go to Taxes and select Payroll Tax.
  2. Select the Filings tab.
  3. Click Resources and select Archived forms and filings to view past forms.
  4. If available, click Preview to view forms not yet filed.

 

Furthermore, making copies of W-2s for yourself and your employees is essential for your year-end tasks. If we file manually with the IRS/SSA or send paper copies to your employees, we may need to print W-2s and a W-3.
