QuickBooks Payroll Service debiting wrong account

I changed the bank account for payroll direct deposits back in 2018. The dollars come from the new account but the debit posted by my payroll service continues to go to the closed account. I just changed banks again and still going to the pre-2018 account. How do I update this entry? Thanks!

I appreciate you reaching out about your payroll debit issue, michellecco. I'm here to help you update your payroll settings and resolve this matter.

When changing your payroll bank account, it's crucial to update your accounting preferences to ensure accurate recording of payroll transactions in the correct bank account.

To update your accounting preferences, follow these steps:

  1. Go to Employees, then Send Payroll Data.
  2. In the Send/Receive Data window, click on Preferences.
  3. Under Account Preferences, select the new bank account from the dropdown menu
  4. Click OK to save your changes.
  5. Select Close on the Send/Receive Data window.

For more detailed information, refer to this article: Change your payroll bank account.

If you've already run payroll and the transactions have been posted to the old account, you can create a journal entry to transfer the funds to the correct bank account. We recommend consulting with your accountant to ensure the accuracy of your financial records. Here's how:

  1. Navigate the Company menu and choose Make General Journal Entries.
  2. Fill out the fields to create your journal entry. Make sure your debits equal your credits.
  3. Click Save or Save & Close.

Additionally, you can view the status of your employees' direct deposit paychecks in QBDT through the Employees menu. For complete details on this process and an explanation of each payroll status, please refer to this article: Check the status of an employee's direct deposit.

If you continue to experience issues or need further assistance updating payroll, please don't hesitate to reach out. We're here to ensure your QuickBooks Payroll runs smoothly.
