941 efile enrollment rejected

I have enrolled several clients to be able e-file 941 quarterly returns and each of them have been rejected.  The notices are saying that information entered doesn't match thier records.  

My question is: Does the IRS compare the information from the EFTPS website profile, or from records on file with the IRS from annual tax return filings?

Thanks for bringing this to our attention, Lisa. I'll provide further details regarding Form 941 e-file enrollment submissions and the measures you can take to handle the rejected forms effectively.

 

To address your question, yes, the IRS verifies the data on the EFTPS website with their records to ensure it matches.

 

Since you mentioned that the rejection notice stated that the information doesn't match their documents, you'll need to ensure that the set-up of your client's company file is accurate. Double-check the EIN, company's legal name, address, and other important details.

 

Then, you'll need to resend your request to get past the rejection. Please follow the steps below:

 

  1. Go to Manage Filing Methods and click Enrollments.

  2. Select IRS, then hit Edit.
  3. Follow the on-screen instructions and verify all the details.
  4. Tap Next.
  5. Enter the name, job title, email address, and phone number of the person the IRS can contact about your enrollment and payroll tax forms. Pick Next. Please note that this individual must be associated with your company, not a third-party provider or accountant.
  6. Press Send Information.

If the error is "941 Rejected: The Business Name Control does not match what the IRS has on file" the Legal Name they entered in QuickBooks may be different from what the IRS has on file. Your customer must correct the Legal Name in QuickBooks and resubmit their 941 e-file. Please refer to this article: Change your Employer Identification Number (EIN) for payroll.

 

Additionally, here's how you can review your Company Information:

 

  1. Go to Company.
  2. Pick My Company.

  4. Tap the information tabs on the left pane. Then, verify all the data.

If you are enrolling/filing on behalf of your clients, you'll need to register with the IRS to Become an Authorized e-file Provider.

Once you have established yourself as a Reporting Agent and are authorized to e-file returns, you can prepare and submit Forms 941, 944, or 940 payroll tax forms on behalf of your client from QuickBooks. Then, proceed with the QBDT Payroll steps provided in this link for e-filing payroll tax forms: E-file payroll tax forms for your clients.
