Accounting for tips (properly)

Hello, we have tipped employees and we have been in operation for over a year and successfully using QBO and QB Payroll for the duration. I'm now learning (due to trying to integrate with a product the franchise corporate wants me to use for reporting) that I am tracking credit card tips incorrectly. I need to correct this but I'm not sure how.

 

Currently, when I bring in transactions (entered manually) from the payment processor, tips get entered into this chart item:

  • Name: Tips
  • Account Type: Income
  • Detail Type: Other Primary Income
  • Is Sub-Account: <no>

 

So my questions are:

  1. How should the item be set up
  2. Do I modify the existing item or create a new one?
    1. If I create a new one, then:
      1. How do I copy the data in the existing item into the new item
      2. Should I then remove the old item or continue to use both making sure to enter same value in both?
    2. If I modify the existing one, then:
      1. Is there anything else I need to do?

I’m delighted to have you here in the Community, @Jeremy_. I’ll help you with recording tips in QuickBooks Online (QBO).

 

With QuickBooks Online, you can share tips with your team. Without the hassle of manually setting up, you can share tips or gratuities with your employees. Simply enable the tip tracking option. We'll guide you through these simple steps.

 

Here’s how:

 

  1. Go to the Gear icon, and select Account and Settings.
  2. Click the Sales tab from the left menu.
  3. Hit the pencil icon to edit, and turn on the Tips (Gratuity) feature.
  4. A pop-up Who's receiving these tips? will open, select My team button.
  5. When Update your sales receipt template? window opens, kindly select the Update button.
  6. Select Save and Done.

Before depositing the final total payment amount into their bank accounts, some firms pay out tips before depositing the whole payment amount into their bank accounts.

 

In this situation, you'll need to make a journal entry to remove the tips from the deposit and pay them out. To learn more about recording the payment and the deposit, as well as creating a journal entry for tips, you can check out this article.

 

To address your other concerns, setting up your items well depends on your own preference. Also, when adding your transactions to your bank register, I suggest you reach out to your accountant to guide you further on what Account type and Detail type to use for these transactions.
