Desktop payroll

I just recently found out i was backing up to my hard drive and not online /: long story short I lost all my data for payroll from this year. Can I manually go in and input payroll from January til now? For my tax info and w2s. I’m up to date on my 941 but the year is about to end so I will need all that info back into the computer for the end of the quarter paperwork and end of year 940 and w2s

Hello, Micasalucy22.

Taking care of the lost data is something we need to deal with as soon as possible. So, I'd like to take this opportunity to help you out and restore the lost payroll data in QuickBooks.

There are two ways to do this. Before doing so, I'd recommend backing up your QuickBooks data (from the last backup restored if any).

The first method is to simply use the Year-to-Date Payrolls option in the Payroll Setup interview process. This works if you've lost a huge chunk of your payroll data, and want to get all the information back into QuickBooks.

Here's how to do it:

  1. In QuickBooks, click the Employees menu.
  2. Select Payroll Setup
  3. On the left panel, go to Year-to-Date Payrolls
  4. Click Continue.
  5. Under Has your company issued paychecks this year?, select Yes.
  6. Hit Continue.
  7. There will be three options: Paychecks, Tax Payments, and Non-Tax Payments. Click on Edit to enter the previous data.
  8. Once done, hit Continue

The Payroll Setup interview is where we can also review the current tax setup. Correct and edit the data if necessary.

If there are too many paychecks or if you need to summarize the data input, then the second option is to use the backdoor method.

For the steps and details on how to do this, let's open this article: Enter historical tax payments in Desktop payroll

Scroll down to Enter historical tax payments outside the Payroll Setup window, then follow the steps.

If there's a need for you to correct some liabilities, we can also adjust them if necessary. I'll share this article in case you need to do so: Adjust payroll liabilities in QuickBooks Desktop Payroll

So, the year is about to end and after restoring your data, I'm sure you'll be busy closing out the books. If you'd like a guide for the upcoming year-end tasks, feel free to take a look at this article: Year-end guide for QuickBooks Desktop

I'm still up and ready to help out if you have more concerns about your payroll data. If you'd like to take care of your entries and reports, let me know the details on what you need to do. Always here to assist.
