Thank you for deciding to post to the Community for assistance, silver.
Right now, QuickBooks Online (QBO) Payroll doesn’t automatically send I-9 forms to the employees. The employee must provide this form to their employers to establish their identity and eligibility to work in the United States.
The employer must also make sure that each employee completes the form and submits the required supporting papers to prove their employment eligibility.
Furthermore, I have an article here that you can refer to when adding your new employees once you have all the employee information needed: Add your new employee to QuickBooks Payroll.
Let me know if you have more concerns about payroll forms. The Community always has your back. Have a good one!

I have selected the boxes for this to be shown and the employees have input info but its not showing on mynend and one employee states her link isnt working. Any solutions?
We appreciate you getting back here in the thread.
As we check here on our system, there isn't any ongoing investigation or cases similar to what you experienced. It's also possible that this has something to do with your QuickBooks Online (QBO) company, and with that said, we'd recommend refreshing your web browser to see if the employee information shows.
On the other hand, the link used by your employee may have expired. Thus, it's the reason it was inaccessible on her end. You can consider resending the invitation to her or letting her use a new email address and then sending the invitation to the new email address. Also, can you tell us more about the error? Providing the specific error message allows us to give you an accurate resolution.
Moreover, we've got these articles to help you ensure the information entered by your employees matches the record inside your company file and also to prepare you for the year-end QBO Payroll:
Please don't hesitate to reach out here in the Community space if you need further assistance getting through this or have tasks you'd like to accomplish inside the program. We'll be more than happy to have you here again. Take care, and have a nice day!
It states: Another employee, vendor, or customer is already using this name. Please enter a different name.
This is not true she is not a vendor nor contractor or employee as of yet, but when I input her info this is the error message given...
Also, unless link expires in 5 min or less, its still valid. QB isnt working for me if this isnt a system issue. I am using payoll online core. Maybe this is a tactic to upgrade, if so ill choose an alternative payroll company.
Let's try clearing your browser's cache to resolve the error you're having when trying to add your employee.
Since you've mentioned that no employee, vendor, or customer has the same name as the employee, the problem you're having when trying to add your employee can be caused by the piled-up cache in your regular browser. It stores temporary internet files from your browsing history. As it collects too many files, it can cause performance issues in your account.
I've got some steps to help fix this issue. First, sign in to your QBO account using a private browser. This helps isolate the issue since it doesn’t store data in the cache.
Here are the following keyboard shortcuts:
If it works, here's how to clear cache and cookies to fix issues when using QuickBooks Online. Restart your browser right after. You can also try to use other supported browsers (Firefox, Google Chrome, Safari, Microsoft Edge) if the steps above didn’t work.
About the invitation link that you'll be sending to your employee, try resending the email invitation. Here's more information about setting up and inviting a new employee: Invite your employees to QuickBooks Workforce to see pay stubs, W-2s and more if you use QuickBooks ....
Here's also how to run payroll reports in QBO to pull up a variety of payroll reports in QuickBooks. It'll tell you more about employees' total wages, deductions, and tax information in a certain period.
Let me know if you need further help adding your employee. I'm always here to assist. Have a wonderful day!
