Employee advance in Quickbooks Online

One of my accounts just converted from QB Desktop to QB Online. Only a small amount of the payroll information transferred from Desktop to Online. I'm in the process of entering the first quarter earnings into Online. I've run into a problem entering employee advances and having the net pay balance. In the desktop version you create a payroll item that is something like Employee Advances. When you issue an advance you do it through Payroll, same with repayment. I need to know two things.

 

1. How do you issue an employee advance in QB online. Do you do it through payroll?

 

2. What to you do in order to get the employee's paystubs that include an advance prior to the conversion to balance with the net pay. It seems you can enter any advance repayments, but not the advance. This is the reason the net pay doesn't balance.

 

Would appreciate any help!

You can pay your employee in advance by running an unscheduled payroll. Then, set up and assign a cash advance repayment deduction for your employee. here's how to do it:.

 

  1. Go to the Payroll menu,
  2. Select Employees, then choose Run payroll.
  3. Find the employee you want to pay, and then select Create another check.
  4. Enter employee compensation, including any salary adjustments, vacation or sick hours, and other pay types.
  5. Confirm the pay period and check date.
  6. Select Preview Payroll, and then select Submit payroll.
  7. Click Finish payroll.

Employee advance in Quickbooks Online

Same issue here,  we have an employee who is on a two week salary and want to advance him only one week it seems that the only option is to advance the entire two weeks salary rather than just one. Is there a workaround to pay just one week in advance?

You can run an unscheduled payroll and edit it to only pay for one week in advance as a workaround. I'll gladly guide you on how to do this below.

 

  1. Go to the Payroll menu.
  2. Select Employees, then choose Run payroll.
  3. Find the employee you want to pay and then select Create another check.
  4. You may be asked additional questions. Enter any info about taxes or paycheck calculations (if applicable). Once complete, select Continue.
  5. Confirm the pay period and check date.
  6. Select the column, or select Actions ⋮, then Edit paycheck to enter your pay details. You can enter hours, compensation, memos, or any other paycheck info as necessary. If you use QuickBooks Time, select Review Approved Time.
  7. Click Preview payroll.
  8. Select Preview payroll detailsSave for later, or Submit payroll.
  9. Click Close.

 

Once everything is all set, you may also want to check out payroll reports to review your liabilities in QuickBooks before filing and paying your taxes.

Are you trying to create an unscheduled payroll in QuickBooks? If so, let me share the updated steps to pay your employees. Here's how:

 

  1. Go to Payroll, then select Employees.
  2. Click the drop-down list, and choose one of the following options: Bonus only, Commission only, or Fringe benefits only.
  3. Based on your selection you may be asked additional questions. Enter any info about taxes or paycheck calculations (if applicable). Once complete, select Continue.
  4. Select or review the pay period (if applicable) and pay date.
  5. Click the employees you'd like to pay.
  6. Select the column, or Actions ⋮, then Edit paycheck to enter your pay details. You can enter hours, compensation, memos, or any other paycheck info as necessary. 
  7. Click Preview payroll.
  8. Select or review the QuickBooks bank account to track your payroll.
  9. Click Preview payroll details, Save for later, or Submit payroll.
  10. Select Close.
