Filing W2. Why seeing this? "You have paid ... employees who have not completed setup. You must finish setting up these employees..." Yet all employee info is set up.

I've successfully run payroll for all my employees, and was able to print the employee copies of the W-2. I can also view copy D of the W2. The only thing I can't do is the electronic filing of copy A. If somehow I didn't put everything in for setting up my employees, there's no information about what specific information is missing for the employees, so I don't know how to fix the problem.

Let's perform some steps so you can fix the error when e-filing your W-2 Copy A form. Before we proceed, have you tried to check the profile for your inactive employees? This way, we can make sure all of their info is set up. If not yet, let's run the Employee Details report to view the inactive employees' data. Let me guide you how. 

  1. Go to Reports from the left menu. 
  2. In the Search box, enter the report name and select it to open it. 
  3. From the Employee drop-down, choose Inactive Employees
  4. Click Run Report.
  5. Review each employee's setup. 

 

The screenshot below shows you the third to fourth steps.

Once verified, let's go to the Workers menu so you can complete the setup of your inactive employees. Here's how: 

  1. Go to Workers from the left menu. 
  2. Select Employees
  3. In the Employee drop-down, select Inactive employees
  4. Click each employee's name to open the profile. 
  5. Make sure the employee's info is complete. 

 

If you already checked your inactive employees' profile but still the same issue persists, I'd suggest contacting our Customer Care Team. They can investigate your account why you're still getting the error. Also, they can double-check what's the missing information that needs to be completed so you can e-file your W-2 Copy A form. 

 

Once submitted, go to the Payroll Tax Center to view its filing status. The three statuses are Submitted, In Progress, or Completed. For more information, see the Filing status section through this article: File W-2 Forms
