Hourly Time Cost Adjustments

Am I the only one who ever adjusts the hourly cost rate for different timesheets?  For an example, QBO does not automatically adjust the hourly cost rate when the time is overtime, and so I have to go in & manually change the cost rate of the time, so that we have an accurate cost of the employee doing the job.  We are a service based company, and so time is a huge factor in our cost of doing a job.  And overtime plays a huge factor; it's 1.5 times the cost of regular time.  However, as of yesterday, I can no longer go in & adjust the hourly cost rate on a per timesheet basis.  I'm getting a message of "the time has been approved, unapprove the time to make adjustments".  However, if I unapprove the time in QBT, it will no longer be in QBO.  I spent 1.5 hours yesterday morning with QBO telling me it was a QBT issue, just for QBT to tell me it is a QBO problem.  As it is a feature under projects -> time activity, I'm 99.9% sure it's a QBO issue, but they are claiming they haven't made any changes, and because the problem has the word "time" in it, it's a QBT problem.  Please tell me I'm not the only one who uses this now lost feature.

@menards22 @TiffPip I've been checking every few days to see if Quickbooks gave us back the feature they took away, and I almost fell out of my chair in surprise when it was back today!!!!  I can adjust my hourly cost rates on the overtime again!!!

Time tracking and accurate cost calculations are indeed vital for service-based companies like yours, where time plays a significant role in determining job costs, @cayaconstruct.

 

The reason the time disappears from QBO after unapproval is that only the approved time is imported into the system. To address this issue, we can edit the timesheet in QuickBooks Time and then reimport it into QuickBooks Online. 

 

Here's how to modify the time: 

 

  1. Navigate to Time Entries.
  2. Select Timesheets.
  3. At the right, select the pencil icon () to open Timesheet Editor, and make the changes.
  4. Lastly, click Save.

@Rubielyn_J , except that doesn't allow me to update the hourly cost rate, only the time itself.  I am needing to update the hourly cost rate, for things like overtime.  Editing the timesheet in QBT doesn't allow me to update the hourly cost rate.  Maybe you should read the full problem, before trying to give solutions.  You are a typical QB employee.  Not caring about the actual problems of the customers.  And if I am wrong, submit a picture of how following your steps will allow me to update the hourly cost rate of a specific timesheet, as opposed to the general hourly cost rate of an employee.

I logged in to my QBO account and I was still able to edit the hourly cost rate under the Projects Center. 

 

Can you tell us more details what happens when you tried to edit the rate? Is there an error message? We're asking these questions to make sure that we give you the right steps and information to sort this out.

@jenop2, up through Wednesday, I was able to edit the hourly cost rates by going to the project -> time activity -> and selecting the individual timesheet that was needing the cost rate to be edited.  Yesterday, I followed those same steps, and instead of it opening a new overview that gave me the employee's name, project name, cost rate, length of time, billable or not, billable rate, and notes/description, a window popped up on the side instead.  This pop-up window was very similar to what comes up when selecting an invoice under the invoice tab.  The message on this window was "timesheet has been approved and locked, to make changes, please un-approve the time", and gives the details from QBT, instead of what used to come up.  I'm attaching a picture of what I now am getting.

I also tried editing the hourly cost rates. So far, I've successfully changed the cost rate of the time, and I haven't experienced any odd behavior or received an unusual message.

 

Know that we appreciate you for performing the initial steps to edit the rate by going to QBT and unapproved the time there. Doing that shouldn't remove the data in QuickBooks Online (QBO). 
 

Your experience is our top priority. Thus, we invite you to contact our Support Team. We'll need to investigate why it happened on your end. They'll be using their available tools to figure out some changes and resolve them in no time.
 

Within your QBO account, go to Help in the upper-right corner. In the Search tab, click Contact us.

@SarahannC, so basically what you are telling me is that there won't ever be a solution, it will just continue to be a broken piece of the software.  That's what I was assuming the answer from QB would be.  That doesn't answer any of my questions to the community of "does this bother anyone else who pays to use the software".

For all of the worthless moderators that keep telling me I need to unapprove the time in QBT in order to adjust the hourly cost rate of the time:  I tried that.  Attached is a screenshot of what I get now.  This time sheet when it's approved and imported into QBO breaks down into 2 time sheets of 3:57 of regular time & :05 of over time.  And as you can see, no where on this new window does it give me the option to adjust the hourly cost rate.

 

Other Quickbooks users: Am I really the only person who ever used the old window to correct hourly cost rates for overtime, so that cost rates were actually correct?

@menards22, I'm glad to know I'm not the only one having this problem!  I just wish I had found a solution.  Unfortunately, you're the first response I've gotten that isn't a Quickbooks employee, and all of the QB employees are claiming there isn't a problem.

Have you spoken to a live person yet? I just sent a help request, but I may have to call them. This is a vital feature of the program (at least to our business), so I don't know why there isn't a solution to this yet!

@menards22, I spent an hour & a half on the chat with 3 different "customer service reps" last week, trying to find an answer to this problem, before coming to the community.  Let me know if you get ahold of anyone who actually has an answer, please.

You can adjust the overall hourly cost rate, but can you adjust the cost rate PER PROJECT - go to that project and edit the individual time entries within the individual project? This just recently changed, and it is VERY negatively impacting my project snapshots. We have different costs per employee per project and now there is no way to adjust that PER PROJECT. Please advise if there will be a solution to this or another workaround. This was working until about a week ago. Thank you!

@TiffPip, I have not found a solution yet.  I'm glad to know I'm not the only one having this issue, as every QB employee I've talked to while trying to solve this problem has told me that I don't know what I'm talking about & there is no problem.  If I find a solution, I will definitely post it to this tread.

@Kurt_M, contacting customer service doesn't do any good.  I spent an hour & a half last week talking to 3 different "customer service reps" who all tried to pass the blame & claim there wasn't a problem on their end.  I started with QBO support, who saw the word "time" in the problem & immediately passed me on to QBT, who said this has never been a feature on our side & passed me back to QBO, who spent 45 minutes "conferring with the back end" to tell me that it's a QBT problem.  This has never been a feature on the QBT side, and no one in the "customer service" wants to find a solution, or even admit that anything as changed in the software.

@menards22, that's the exact issue I'm running into.  There are different projects that have a different cost rate, and overtime has a definite different cost rate.  I can't even go in & adjust the cost rate for overtime.  Most of the different projects that I need to adjust are under $5 per hour, but overtime is 1.5 times the regular rate.  When looking at the cost of a project, if our team worked on the weekend, 8 hours per guy at 1.5 the normal rate is a HUGE difference in the labor cost.  And you would think the software would have been adjusting the cost rate for overtime long before this, but no, I've had to go in & adjust every single overtime rate since I started at my current company.  Honestly, with how much QB has gone down hill the last few years, I would ask my boss to switch accounting software if our accountant used any other software than QB.

This is the screen we're all looking for right? I work for two companies - one uses QBO Plus and the other uses QBO Advanced. I can still access this on the Advanced program, but not the Plus. Do we all have to upgrade to Advanced??

@menards22, I'm not sure, as I can't seem to open any of the attachments on this tread, including the ones I posted.  I've tried in Chrome & Edge.  Hopefully we don't have to upgrade to Advanced.  I would hate to pay even more each month to a software company that has been declining drastically since "The Great Intuit Merger of 2020".

@menards22, you're welcome.  I wasn't expecting it to work, but I kept checking, just in case.  I was shocked when the old screen opened up!  But I was able to fix 2 weeks worth of overtime this morning, finally.
