How are small business handling 1095 efiling this year?

Hi there, calconst.

Let me provide insights on how the 1095 works in QuickBooks Desktop. I'll also provide instructions to ensure you can complete and file this tax form efficiently.

To begin, you'll need to accomplish the following once you are an Applicable Large Employer.

  • Offer insurance to your qualified full-time employees and their dependents
  • Report the insurance coverage offered (or not offered) to the IRS on Form 1094-C and Form 1095-C
  • Report employer-sponsored health insurance on your employees’ W-2s

Then, you have to account for service-hours for your entire workforce, including full-time and part-time employees to verify your ALE status. In most cases, you’re considered an ALE once you have 50 full-time employees. You’ll do this each year and will apply to the next year.

After that, you need to get a report that shows the total service hours for each employee by month.

Here's how:

  1. Select Reports and choose Employees & Payroll. Then, select Payroll Summary.
  2. Choose a date range that includes pay dates with pay periods spanning an entire month. Then, select Refresh.
  3. From Columns, choose Employees to filter the report to show all employees.
  4. Select Customize Report, and use the options on the Display tab or the Filters tab to customize the report to display only specific info.
  5. To print or save the report, select Print Report or Save as PDF from the File drop-down menu. The Hours column displays the total service hours each employee worked in the month or date range, including overtime hours.
  6. Use the Full-time equivalent (FTE) Employee Calculator to view if your mix of full-time and part-time employees makes you an ALE.

Once completed, see the IRS guidelines for Forms 1094-C and 1095-C for information on deadlines and completing the forms. Please know that we do not file them for you due to the HR and benefits information required to complete these forms. Then, refer to this article to see further information to finish the process: Understand reporting requirements for the Affordable Care Act

In case you need steps to run a report to quickly view your payroll totals, including employee taxes and contributions, you can read this artilcle: Create a payroll summary report in QuickBooks.

Feel free to let me know if you have any other concerns related to managing 1095. I'll be here to help you further, calconst. Have a wonderful da

We have 60 employees,  so I am past that.   It would be nice if the company data and employee basic data (address etc)  downloaded on to the mxl format and then we could fill in the benefit information.
