Join nowHello, nativetec. I'm happy to assist you in recording paid payroll in your QuickBooks Online (QBO).
If you're using QuickBooks Online Payroll, you can easily record the payroll on a paper check.
Here's how you can do it:
1. Go to Payroll.
2. Select Employees.
3. Click Run Payroll.
4. Select a Pay schedule and Pay date.
5. Choose the Employee whose payment you want to record
6. Click on Actions⋮, then select Edit paycheck to enter the pay details. You can add hours, compensation, memos, or any other necessary paycheck information in this section.
7. Click on Preview Payroll.
8. Select Submit Payroll.
However, if you don't have QuickBooks Online Payroll, you can create journal entries for paychecks that you create outside QuickBooks. For a more detailed guide, you can refer to this article: Manually enter payroll paychecks in QuickBooks Online.

If by already paid payroll, you mean payroll paid before you subscribed to QBO Payroll, then there is an area in payroll setup where it asks you if you had other payroll in the year. You would answer Yes and it would have an area then to record previously paid payroll and payroll taxes paid.
If instead, you are doing after the fact payroll entry and you use a system outside QB for payroll, it's different.
