How do I create a code for PTO for when I let my employees leave early?

Many times when a holiday falls on a Monday if the prior Friday is slow we like to treat the employees with early release.  We still want them to accrue PTO during this time but would really like to be able to have them do a separate entry for this.  Is there a code I can set up for PTO and call it early release?  We use Quickbooks Online Payroll.  If I try to create the code within Quickbooks time it states it won't sync with Quickbooks payroll?

How do I create a code for PTO for when I let my employees leave early?

Hi Lisa2112, it's good to know that you're using QuickBooks Online (QBO) Payroll.

Yes, you can set up a code for Paid Time Off (PTO) and refer to it as early release. I'll make sure to help you accomplish this task in no time. Here's how you could do it.

  1. Sign in to your QuickBooks Online account.
  2. Navigate to the Payroll or Workers menu.
  3. Select Employees from the drop-down menu.
  4. Choose the employee for whom you want to set up the PTO code.
  5. Click Edit under the Pay types.
  6. Scroll down and choose Time off pay policies.
  7. Click Add new paid time off policy.
  8. To create it, enter the necessary information. Then, hit Save.

Whenever you process payroll for that employee, you can select the PTO code you created to account for the PTO. The amount you enter for this pay type will be included in the employee's paycheck calculations.

If you require more information on this topic, I recommend checking out this article: Set up additional pay items in QuickBooks Online Payroll. It provides detailed instructions and guidance on how to set up additional pay items in QuickBooks Online Payroll.

There could be a compatibility issue or a limitation in the integration between. I suggest reaching out to QuickBooks Time Support for precise information regarding the synchronization of data with QuickBooks Online. They will be able to provide you with accurate details on this matter.

I will definitely help you if you have more questions about adding PTO code QuickBooks payroll. Just let me know by add a new post below. Take care and stay safe.

How do I create a code for PTO for when I let my employees leave early?

Thank you for your assistance.

Since this happens so rarely, and we don't want PTO accrual to stop for the hours they are released, I actually went about it a different way.  My people use the timesheets tab, they don't clock in and out they make line entries. So I had them use the manual timecard tab, click on the add time button, and they enter the date, the hours and a note that says EARLY RELEASE.  We don't require the use of client codes so they don't enter anything in that box and they save.  This then creates a separate line item on their timesheet to account for the hours without making it look like they worked more hours than they did.  Additionally, I like the idea that this then notes they are still being paid yet not physically at work.  This way just works better than us than creating a new code for a situation that only happens 3 or 4 times a year but thank you, the information was useful for future purposes.

Kind regards,

Lisa
