How to document conversion from QB Desktop Enhanced Payroll to QBO Core Payroll?

Thanks for reaching out here in the Community space. Let's team up so you can continue transferring your QuickBooks Desktop Enhance Payroll data to QuickBooks Online Payroll.

 

If you already have a QBO Payroll subscription, exporting your data from QBDT will only need a few clicks. We'll gladly write down the steps to get you going:

 

  1. Sign in as an admin to the company file you need to import.
  2. Go to Company, then select Export Company File to QuickBooks Online.
  3. Select Get Started to export your data.
  4. Click export all your company data, then Continue. Since your QuickBooks Online Payroll file doesn't have accounting turned on, none of your accounting info will export.
  5. Sign in as an admin to your QuickBooks Online account.
  6. Choose the QuickBooks Online company you want to move your payroll info to. If you have multiple companies, select the one you want from the list.
  7. Select Continue and then click Export.
  8. Once the export completes, sign in to your QuickBooks Online Payroll.
  9. Check out this guide to finish your set up and run your payroll in QuickBooks Online.

What if my client has been using the payroll check and liability detail without the tax service and filings in QBDT?  When I export the datafile to convert to QBO Simple Start, with the payroll detail come with as employee history?

 

Will I get payroll tax and payroll liability financial history in the GL and financial reports?

I'm here to further clarify your questions concerning payroll data migration from QuickBooks Desktop (QBDT) to QuickBooks Online (QBO). 

 

 In general, not all past payroll data is moved. It will migrated in the following manner:

 

  • Paychecks will convert into regular checks. Once you set up payroll, you can create paychecks. 
  • Payroll transaction details like payroll item breakdowns and prior year employee year-to-date numbers will not convert automatically.
  • Employee addresses, current YTD payroll balances, and other employee-level information will need to be entered manually. 
  • Liability refunds, payroll adjustment transactions, and accounts affecting opening balances will convert to journal entries.

You can purchase QB Desktop Enterprise Gold to access your historical payroll data as a workaround and request a refund within 60 days. Another simpler option, we can ask a partner to lend you QB Desktop Enterprise Gold and use it for a short period of time. You don't need to bother asking for a refund.
