How do I enter an amount for S-Corp Health Insurance premiums paid in box 14 on 1 W2 in QuickBooks online?

I can help you enter the S-Corp amount, jenny.garrity.

Here are the steps:

  1. Click Workers, and then Employees.
  2. Click the name of the employee you want to pay S-corp owners health insurance amount.
  3. Click Edit employee.
  4. Under How much do you pay this employee? click Add additional pay types: if you haven't selected any other pay types, or click the Pencil icon if you have .
  5. Select the S-Corp Owners Health Insurance checkbox. If the pay type is not in the Additional pay types list, click Even more ways to pay this employee to see more pay types, and select it from there.
  6. Click Done.

Afterward, you can enter the amount in the S-Corp column when creating paychecks.

I'm trying to record a year end payroll to enter the annual S corp shareholders health insurance into QBO so it will be included in boxes 1 and 14 on the W-2.   

We don't want any withholding.

It is not subject to FICA tax.

The employee/shareholder has this pay type already set up.

Let me help you run your year end payroll with the annual S-Corp insurance in QuickBooks Online (QBO).

 

Since you've already set up a pay type for your employee, you can now run payroll under Fridge benefits. 

 

Here's how:

  1. Go to Workers.
  2. Choose Employees tab.
  3. From the Run Payroll drop-down, select Fringe benefits only.

If we get paid bi-weekly, should we split the S-Corp Owners Health Insurance $ amount in half or write the full amount in the field and QBO will split it for us? It doesn't specify anywhere on the page!

QuickBooks Online Payroll only allows you to set up and track S-corp medical contributions. Nonetheless, it doesn't automatically split the figure for you.

 

The fringe benefit, including S-corp medical, must be added to the paycheck by the end of the year to ensure proper taxation and reporting on your employees' W-2 forms. Therefore, It's up to you whether or not the S-Corp Owners Health Insurance $ amount is entered in half or full.
