In QB Online Payroll, changing an employee's address changes all of her *past* checks and her W4!

I'm running QB Online Payroll Core as a stand-alone product that I was placed in after Inuit phased out Intuit Online Payroll. Yesterday, I changed an employee's address since she moved. Doing so also changed the address on all of her past checks (!) as well as the address on the electronic W4 stored in her profile and bearing her signature and a 2023 date!

This is clearly inappropriate as the software is changing history (!). It's also a potential liability as our tax rates vary at the municipality level and, retroactively, changing all of the past checks and W4 makes it appear that she has been taxed incorrectly.

Is there a fix for this?

Hello there, slbradio. I see that dealing with changes can be a bit challenging, so I'd like to provide some clarity on this matter.


Changing your employee's home address will also update the information displayed on your employee's past checks and W4 forms. However, it does not necessarily mean the taxes calculated on the past checks will also change. 

If you have noticed changes in the taxes calculated on the past checks, I recommend contacting our Payroll support. Our expert team possesses the necessary expertise to address your concerns thoroughly.

 

Here's how to reach our payroll support:

  1. Go to the Help menu and click the Search tab.
  2. Press Contact UsSelect Payroll
  3. Choose Continue, then pick the Chat or Callback option.

In addition, you can run a payroll report to get a detailed summary of your company's payroll expenses, including employee salaries, bonuses, taxes, and other related costs.

I can manage change just fine :). What I can't manage is the fact that changing an employee's address seems to modify all of their past paychecks and essentially creates a forged W4 (our employee signed it in 2023, we changed the info she certified in 2024). It sounds like this is a known limitation. I do see it's been this way for years and I never noticed it. Indeed the tax calculations are correct. Thanks.
