Yes, it's possible that your employees are unable to see your company's cost of products and customer list, @jack-bedrockmach. Let me provide further details about this.

 

I know how important to keep the confidentiality of your product and customer information in QuickBooks Online (QBO).  That's why I'm here to share details on how you can manage your account effectively.

 

When you add employees in QBO, they're unable to see the cost of your products/services and your customer list. However, if you've given them special access (e.g. Company Admin or Standard user) by adding them as a user, that's when they can view some information in your account.

 

You can limit their access by changing their User type in the Manage users page. Let me guide you how.

  1. Go to the Gear icon.
  2. Select Manage users.
  3. In the Users tab, find the user you want to edit. Then, select Edit in the Action column.
  4. Choose the User type drop-down menu, then elect the user type you want them to be.
  5. When you’re finished, select Save.

There are different user types and levels of access in QBO. You can learn more about it by visiting this article: User types in QuickBooks Online. It contains topics about user types per QuickBooks plan, billable, and non-billable users to name a few.

 

Additionally, you'll be able to track all the activities made in your QBO account. Just visit the Audit log from the Gear icon. I tried that, but can’t figure out. 

I’m on Plus plan, is that good enough? 
I need my employee to be able to send invoices, but not see products costs, how can we achieve that?

Let me share some of my ideas about the user access in QuickBooks Online. You can manage your employee's access by following the steps provided by my colleague Rea_M. However, in QuickBooks Online, we don't have a restriction limit on where to make your employee's unable to see the product cost. You can read this article to learn more about managing user access in your QuickBooks Online account: User types in QuickBooks Online.

 

In case you'll need help changing the master admin in your QuickBooks Online account, you can refer to this article: Change your QuickBooks Online master admin user.

 

For your additional help, you can also check if your invoice was already sent or not by checking the status. Here's how:

 

  1. Go to the Sales tab.
  2. Select Customer.
  3. Look for the customer, then click the invoice.
  4. Check the Status column.
  • Open - You haven’t sent the invoice yet. 
  • Open (Sent) - You already sent the invoice to the customer. 
  • Open (Viewed) - Your customer opened the invoice. 
  • Paid - Your customer paid the invoice. 
  • Overdue - The invoice is past due and isn’t paid yet.
  • Overdue (Viewed) - Your customer opened but didn’t pay the past due invoice.
