My online payroll did not export to my QB ledger, how do I do it?

My new QB payroll is online, my QB ledger is in desktop for Mac form. I called QB to get my payroll to export to my desktop version. I had to bring up the most recent payroll, click all, and then export it to the right bank ledger. I have my answer now, I am not sure I explained it well. Thanks for trying to help me out!

So here I go again I was reconciling my monthly bank statement and I noticed the payroll was missing in my QB for Mac desktop version ledger.  I went to my online QB payroll and brought up the old payday info with no problem, then I searched and found no way to export it to QB for Mac desktop, not .iif file format nothing. Please help!

It's a pleasure to have you here again, @Kahuna1. I've got your back to help you create the IIF file and export your payroll data from QuickBooks Online and reconcile your account in QuickBooks.

 

Since you're using QuickBooks Online Payroll, let's first set up your Export preferences in your QBO account. Doing this can help you transport your payroll transactions.

 

Here's how:

 

  1. Go to the Gear icon in the top right corner.
  2. Choose Payroll Settings.
  3. Click the Pencil icon next to Export.
  4. On the Export preferences page, click QuickBooks Desktop for Mac.
  5. Enter the name of each account you are exporting your liabilities and expenses to make sure you have a copy of your QuickBooks Chart of Accounts.

 

Once done, you can now export your payroll data to your QBDT account. Let me guide you how: 

 

  1. Go back to the Payroll settings page.
  2. In the Export section, click Export transactions.
  3. Select Export to process.

So I am using QB for Mac desktop and you want me to use the QB for windows, .iif files? Are you sure?

Thanks for getting back to this thread, @Kahuna1. Let me clarify things for you.

 

I'll be adding some details about exporting Online Payroll to QuickBooks for Mac to ensure your matter be addressed.

 

Standalone Payroll Product, QuickBooks Online Payroll (QBOP), and QuickBooks Desktop (QBDT) for Mac have various platforms. If you're working on the said version, you'll have to manually export your file from QBO to start sending your payroll data. Then, import them to your QBDT for the Mac company file. While doing this, I recommend downloading and using import kits so you can easily transfer data to and from different platforms to better manage company records in QuickBooks.

 

Before you import, make sure to create a backup copy of your company file. This is to guarantee that you’ll be able to restore your company file and get back to work in case you ever run into a problem with your data. Then, know the IIF import limitations to smoothly accomplish the process.

 

Once you're ready to import your IIF payroll data, please follow the steps below.

 

  1. Sign in to your company file as an admin.
  2. Go to the File menu.
  3. Choose Import.
  4. Select From IIF Files and export your IIF file.
  5. Follow the on-screen instructions to complete the procedure.

My online payroll did not export to my QB ledger, how do I do it?

I finally figured it out myself, just by luck I clicked on every possible choice and this is what I have, I hope it helps others as too many hours of mine have been occupied by this problem.

 

Do this after opening up QB for Mac Desktop

  • Open QB online payroll — Use Chrome!
  • go to payroll
    • Overview
    • View paycheck list
    • last pay date or whatever date you want
    • check boxes
    • export to accounting
    • backup file of your ledger
    • once backup is completed click on .iif file to import
    • Go to the date in your ledger to confirm the data has imported. Whew!
