New Quickbooks account and data transfer

Is there a way to transfer employee information from one quickbooks account to another.

 

Ex. I use Quickbooks for time sheets and payroll, in business account A.

Is there a way to move all employee contact information from business A to Business B without having to make everyone reregister themselves?

 

I'm not expecting any historical data to transfer, just a clean data migration of employee profiles.  Then new records will be stored in Business B going forward.

Hello gmassih. 

 

Transferring employee information from one QuickBooks account to another is not a direct process because QuickBooks does not currently include a built-in feature for automatically migrating employee data between accounts. However, you can manually transfer employee records, payroll data, and related information using the following general steps:

 

Step 1: Export Employee Information from the Source Account:

  •  
    1. Sign in to the source QuickBooks Online account.
    2. Go to Reports and search for the report called "Employee Details" (or similar).
    3. Customize the report as needed to include employee data like names, addresses, payroll settings, etc.
    4. Click Export or Print, and select Excel or CSV format for easier transfer.

Step 2: Import Employee Information into the Target Account

  • QuickBooks Online does not have an option to directly import employee information. You will need to manually enter the details into the target account:
  •  
    1. Go to Payroll > Employees and create new employee records.
    2. Manually enter the details for each employee based on the exported data.

Step 3: Verify Payroll and Tax Information

        Employee data like payroll history or tax setup, cannot be fully exported and re-imported. You’ll need to:

  1. Double-check employee tax details, including Social Security Numbers, tax withholdings, and filing statuses.
  2. Update any additional payroll preferences for employees in the target account.

 Step 4: Cancel Payroll in the Source Account (Optional)

   If the migration includes payroll, you’ll need to:

  1. End or discontinue payroll in the source account so that you avoid duplicate transactions or filings.
  2. Reactivate payroll in the target account and run payroll from there moving forward.

By carefully organizing the exported data and entering it into the target account, you can successfully transfer employee information from one QuickBooks account to another.
