Pay Rates

My employees are set up with different pay rates.
For example, Julie may be paid $14 an hour for training shifts but $17 an hour for regular shifts.
I have been manually adjusting between the pay rates every pay period, but when I do that it causes Quickbooks Time to de-sync, which means that it continually tries to "correct" me.
For example, if Julie worked 20 hours of training and 20 hours of regular pay, Quickbooks Time needs all the hours to be under regular pay, and if i adjust it, it will change back.
I feel like a good solution for this would be to have the employees clock in as "training" or "regular" depending on what their shift is, so that it automates this pay difference, but I can't seem to find a way to do this.
Is this possible?

Pay Rates

Hello there, @bookkeepingclean

I'll explain how you can manage your employee's different pay rates in QuickBooks Time.

Yes, you can create multiple shifts and let your employees' clock in on them depending on their shifts assigned in the program. However, this won't affect the rates as this can't populate a pay rate field.

Since your hourly employees are paid differently based on the type of work, you can map a payroll item by customers, service items, or classes. First, you need to allow QuickBooks to map payroll items by following these steps:

  1. Click the QuickBooks dropdown at the top right corner, then select Preferences.
  2. Choose the Payroll Item Mapping Tool under Other Options.

  3. Select an employee on the Map Employees tab.
  4. In each hour type column, select one payroll item for each.

Afterward, here are the steps to set up the override settings:

  1. In the Payroll Item Mapping Tool, select Settings.
  2. Select the Allow overrides by box, and choose either CustomerService Item, or Class.
  3. Select Save.

  4. On the Map Customers, Map Service Items, or Map Classes tab, click + Add Override.

  5. Choose a customer, service item, or class, then expand the new override option.
  6. Select a payroll item under each hour type column (e.g., regular and training). Repeat until each CustomerService Item, or Class is appropriately mapped.
  7. Once the mapping is complete, you can close the window.

You can find the steps and elaborate details about the setup in this article: Map QuickBooks payroll items in QuickBooks Time.

Thank you so much!!
This was a great start to figuring out how to do what I wanted. I did have to look up another tutorial in order to be able to find how to set up "training" as a class and then Quickbooks made me choose a class for every employee that we've ever had in the system, even employees who haven't worked here for years, so it was definitely more complicated than it is presented. That being said, this helped me a lot.
I won't know 100% if it worked until I run payroll again in a week, but it seems like everything is set up now how I wanted it, so thank you!!
