Payroll liabilities and union dues

I am the treasurer for a local union. We have retired members who pay cash dues to the local via payroll deductions. The dues go into payroll liabilities. How do I move this from the payroll liabilities into the local general fund. Write a check to the local, EFT, Journal entry? If Journal entry, how?   I have been stuck on this for months.

Payroll liabilities and union dues

Hi there, @Putman57.

Let me help you with the payroll liability in your QuickBooks Desktop (QBDT).

First, let’s remove the due liabilities by following the steps below:

  1. Go to the Payroll Center and navigate to Pay Liabilities.
  2. From there, look for the Taxes that show as due. Tap View/Pay to see the items under this.
  3. Under the Payroll Liabilities tab, please take note of all the Payroll Items and their exact Amount.
  4. After that, go to the Help menu and select About QuickBooks. Then, press Ctrl+Alt+Y.
  5. Choose the date range. Then select Next until you see the Create Payment button.
  6. Select the Payment Dates for the taxes.
  7. In the Item Name, jot down all the items entered on the e-paid taxes including their actual Amount.

To avoid affecting your banking account, please ensure to go to the Accounts Affected tab to choose how this transaction affects your file. From the option, you can select the Do not affect accounts option and click OK.

Afterward, you can write a check for this and select the Local General Fund as the affected account. You can refer to this article for complete guidelines: Create, modify, and print checks.

I also recommend seeking your accountant’s advice to be guided when entering the following transactions.

Feel free to comment if you have more questions about payroll. I’m just a few clicks away. Have a good one!

Payroll liabilities and union dues

Thank you for the response. You referenced taxes, then seeing what is in that submenu? My question revolves around the union dues, which should be credited to the local's general ledger. I guess my real question is how do I move the dues money from the liability into the general fund. Do I have to write a check? Can I eft the liability check? Can I do that with a Journal entry? And if I can, how do I accomplish this.

Thank you for any help and I apologize for any repetitiveness.
