I have an employee that is not receiving his link from QBO workforce. He has checked his spam, inbox and even created a new email. Any suggestions on what I can do on my end to ensure he receives his link?

Let me help send an email invite to let your employee add the rest of their info, @StephWBS.

I appreciate the effort that you've tried to see the employee's email invitation. You'll want to review if the employee sent you a working email/spelled out correctly before you enter them in QuickBooks. It ensures an employee can receive the email invitation/link to join Workforce.

Now that your employee has a new email, you'll want to consider my suggestion above and then update the employee's info and resend the invitation via an incognito or private browser. We use this browser mode because the browser's internet file may have blocked QuickBooks from sending data to other online servers like email service providers.

Here's how:

  1. Open a supported browser like Google Chrome or Mozilla Firefox.
  2. Follow the browser's keyboard shortcut keys to run incognito/private browsing mode:
*Google Chrome: Press & hold Ctrl + Shift + N
*Mozilla Firefox: Press & hold Shift + Ctrl + P
*Microsoft Edge: Press & hold Shift + Ctrl + N
  3. Login to QuickBooks Online.
  4. Go to the Payroll menu and then select Employees.
  5. From the worker's Personal info section, click Edit.
  6. Enter the employee's email.
  7. Switch on Employee self-setup.
  8. Click Send email.

If it works, I suggest having your worker return to their browser and perform a clear cache to refresh the system and optimize its performance. However, if the issue persists, try using other supported browsers.

I'm also adding this article for more details about sending an email reminder for employees to use Workforce: Resend or cancel an invitation to QuickBooks Workforce.

If the issue persists, the worker's email service provider (ESP) may have blocked Intuit messages. Consider contacting their ESP to allow our email server host names and IP addresses. You can check our lists of server hostname and IP addresses from this article under the Add Intuit's email server hostnames section: What to do if invited users did not receive your email invitation in QuickBooks Online.
