Recreating Payroll in desktop

Hello,

I have 3 payroll periods that need to be created in the current version of desktop that I am working in.  Our CPA had our books several different times, and each time I had to run payroll.  Payroll has already been submitted to Intuit for these periods.    I need to re-create those pay periods WITHOUT re-sending to Intuit.   Any ideas on this?

Recreating Payroll in desktop

Let's enter those pay runs in QuickBooks Desktop so your employees' W-2 forms are correct at the end of the year, HEMechanical.

The payroll setup interview is where you'll add this information. Here's how to get there:

  1. Open QuickBooks Desktop.
  2. Go to Employees on the top menu.
  3. Select Payroll Setup.

Now, it's time to add your employee's prior paycheck info.

  1. In the Payroll setup screen, click Payroll History.
  2. Choose Yes, have paid employees in 2024, and click Continue.
  3. Indicate whether or not you want to consolidate paychecks for previous quarters by selecting Yes or No, then click Continue.
  4. Select the employee for whom you wish to enter paycheck details and then click on Edit payroll history.
  5. Input the total paycheck amounts for each previous quarter or by individual paycheck, depending on your earlier selection in step 3. For the current quarter, enter the amounts by paycheck date.
  6. After entering all the paycheck details for that employee, click Done.
  7. Repeat these steps for every employee you've paid in the current year, including those who are no longer employed with you.

You can also add prior payroll tax payments and other prior payroll-related payments in the same setup window. Refer to this article for detailed steps: Add payroll info to QuickBooks Desktop Payroll when you already paid employees this year.

I'll also leave this article on completing year-end tasks and preparing for the new year in QuickBooks: Year-end guide for QuickBooks Desktop.

HEMechanical, you've taken a crucial step in ensuring accurate end-of-year reporting for your employees. By entering these pay runs now, you're paving the way for a seamless transition to issuing W-2 forms. If you have any more questions or need further clarification, feel free to reach out. Wishing you a productive day!
