Rehire an employee - can't edit the hire date QB Desktop

I'm trying to modify the hire date for a rehired employee. However, I'm facing an issue where the Hire Date field appears grayed out and uneditable. It seems I can only change the original hire date if it's set to a date before the rehired date displayed in the grayed-out field.

Ideally, we would like to retain the original hire date while also displaying the current rehire date for the employee.

Am I overlooking something obvious here? Any insights or guidance would be greatly appreciated.

Rehire an employee - can't edit the hire date QB Desktop

Good day, @ET707.

Thank you for elaborating and adding a screenshot of your concern. I'll share some steps to allow you to edit the hire date while remaining the original hire date.

When rehiring an employee in QuickBooks Desktop, you'll want to ensure all data entered from the Termination tab of your employee's profile are cleared out. This will help reinstate your terminated employee from your file. Then, enter the recent rehired date for the employee from the Hire date field, and keep the Original Hired date section as this states the original date when your employee was originally hired for the first time.

To do that:

  1. Go to Employees in the menu bar at the top, then to Employee Center.
  2. Choose the employee and open their profile.
  3. In the Edit Employee window, remove the checkmark from Employee is Inactive.
  4. Select the Employment Information menu and select the Termination tab.
  5. Remove all the termination details.
  6. Select Ok to save the updated information.

However, if the Hire date field is still greyed out after ensuring the steps above, you'll want to consider using the QuickBooks Tool Hub to resolve common issues and errors in your desktop file. Beforehand, let's ensure you've downloaded your QuickBooks Desktop account to its latest release

Once done, we can now download and install QuickBooks Tool Hub. Here's how:

  1. Close your QBDT.
  2. Download the most recent version of the QuickBooks Tool Hub.
  3. Open the file you downloaded (QuickBooksToolHub.exe).
  4. Follow the on-screen steps to install and agree to the terms and conditions.
  5. Once done, double-click the icon on your Windows desktop to access the tool hub.

I'm also sharing this helpful resource to help you invite your employee to access their pay stubs and W2s: Invite your employees to QuickBooks Workforce to see pay stubs and W-2s if you use QuickBooks Deskto... You'll need to make sure the employee is active before inviting them.

Rehire an employee - can't edit the hire date QB Desktop

I had the same problem with a rehire. The Hire Date appears on the "Employment Info" tab, but it is grayed-out there because you edit it on the "Required Info" tab now.

Then do you lose the original hire date info?

Rehire an employee - can't edit the hire date QB Desktop

Thank you for dropping by in this thread, @Angie618.

I realize how significant the rehire date is for employees as it affects their status within the organization and various HR processes. Opting for this can be a great decision as they are already familiar with their roles and the company's culture.

The concept of Original Hire Date is used in HR reporting to refer to the employee's initial hiring date. On the other hand, Hire Date refers to the most recent reemployment. You can update both whenever necessary for corrections or cases like this.

Therefore, to answer your question, updating the Hire Date will remove the original ones. If you'd like to proceed, go to the Required Info as per ck2.

You should fill out the original hire date before changing the hire date upon rehire.    Hope this helps.

Rehire an employee - can't edit the hire date QB Desktop

I wish all QuickBooks employees gave correct information, as we depend on their knowledge to help us, not hinder us....  Please remember Hire date is now on the Required Information page and should be changed there.  Then it will automatically populate on the employment tab.  If you need to keep track of the original hire date you should enter that on the employment tab that before changing the hire date on the required info tab...so you do not lose that information.

Hope this helps to clarify your question.
