Reprint 2017 W2, not saved

Hi, I need to reprint a 2017 W2.  When I go to the saved pdf, it is just one employee's W2.  So I must have reprinted that one and saved it over the top of the one with all the employees.  Is there a way to get those back again?  I tried by clicking on the annual form W2 and choosing 2017, but when I go to print it has 2018 on it.  Help please!

It can't be done now from within QuickBooks, which only has current forms.

 

At this point if an employee needs a replacement, pull the company copy that you're required by law to keep from your files and copy it for the employee.

 

Note that there is no requirement for you to do this.  If you issued a W-2 to the employee when it was due, that is all you are required to do.

 

If for some reason the employee needs it, they can request it from the IRS:

Good day, @rhowie.

 

I can share some insights about reprinting 2017 W2s in QuickBooks Desktop.

 

After downloading the latest payroll updates, all the annual forms will be set on the current year. Running and printing previous year W2 forms will already have 2018 on it.

 

As a suggestion, you can download the form through the IRS website and manually write the information from what's in QuickBooks.

Thanks for reaching out to Community. 

 

You can access your employee's transcript by reviewing the archived W2 forms that have been efiled or printed. I've included the steps below to do this. 

 

1. From the Employees menu, choose Payroll Tax Forms and W2s. Then, Process Payroll Forms

 

 

2. In the Filing History section, from the Save Filings tab, your list of forms will be listed here. 

 

 

3. To open the form, click on the link of the filed form under the Save PDF column

 

 

That's all there is to it. You can check out Print W2 and W3 forms for additional details.
