Hello there, @jvw1.

Let me help you fix your employee's SSN in QuickBooks Online.

There's an inactive employee on your employees' list in this scenario. What we need to do is to activate them to resolve this problem.

here's how:

  1. Click Payroll in the left panel and choose Employees.
  2. From the Active Employees drop-down, filter All Employees.
  3. Double-click the employee's name that duplicates.
  4. Besides the Employment, click the pencil icon to edit.
  5. Change the to Active.

You can also verify if there are multiple SSNs for the employee setup by going to the Reports page.

Here's how:

  1. On the left pane, click the Reports tab.
  2. Search for Employee Contact List on the search tab.
  3. Next, to customize the report, select Customize button.
  4. Hit the Rows/Columns dropdown, then put a check in the box for SSN and other details you'll want to include in the list.
  5. At the bottom, choose Run Report
