Using QBO Core with QB Time for contractors

Client purchased QBO Core Payroll and QB Time.  Main reason was to have the contractors enter their time which would sync to QBO for billing and invoicing clients.  This does not appear to be happening and from what I'm reading it's not the set-up.  Just spent an hour+ on the QB chat going through her set-up.  This client has only 3 employees and only one bills customer projects.  The other 2 are admin and clerical level accounting.  However, there are 20 contractors all billing different projects and IF the QB Time app worked as we thought it would then she had the perfect solution.  She now may need to purchase a different app that does what she wants AND integrates with QBO Core Payroll.  But first I want to be 100% certain this isn't possible with what she has now before we go chasing down what may be another rabbit hole.

I appreciate your client's interest in using our QuickBooks products to manage the business. Please know that with QuickBooks Online Plus, Essentials, Advanced, and QuickBooks Online Payroll Premium or Elite, your employees can track time with QuickBooks Time. That said, we're unable to integrate your QBO Payroll Core version into QB Time. 

 

You're right. Your client might need to consider looking for an alternative third-party app that can meet your client's need to track the employee's time. We can't suggest a specific app, but I'll show you how to look for one. Here's how:

 

  1. From the left panel, click Apps.
  2. Go to the Find Apps tab.
  3. Use the search bar and enter the keyword to look for an app.
  4. Choose an app from the list.

 

You can also check the QuickBooks Apps Store for free apps built by QuickBooks to help you with your business. You can choose whatever works for you.

Apparently, I completely missed the boat on this issue.  Please see message from my client below:

 

"Basically, contractors are using QB Time and logging their time by client/project and that is working fine.   You can then upload the approved Time into QB Payroll.  (screen shot below).    However, I can’t figure out where it goes when you upload it – I’m not seeing it in QB Payroll.    And I can pay contractors in Payroll – but I have to manually input their hours and rate into Payroll and was hoping that Time would feed into Payroll so I wouldn’t have to do it manually.  Just hoped that the hours/rate would export from Time into Payroll easily.    I would like to know where the Time info goes when you export to Payroll.    I heard it may be that it only works if you have a “higher” version of QB Online."  

 

Sounds reasonable she should be able to know where the numbers are going in QBO?

Hi there, @dso0216. I'm here to share some information about exporting time from QuickBooks Time to QuickBooks Online (QBDO) payroll. 

 

In QuickBooks, you'll have to ensure that the time is approved before exporting them. Once done, check the View Sync log to confirm that the data was exported successfully. Once verified, open your QBO company and refresh the page. From there, run the Recent/Edited Time Activities report to see the exported time. Here's how:

 

  1. Click the Reports menu.
  2. Then, scroll down to the Employees section and click the Recent/Edited Time Activities report.
  3. From there, set the correct date and look for the exported time.

 

I also noticed that the screenshot you've mentioned wasn't uploaded successfully. To ensure that this will be attached on your response, utilize the Insert Photos icon when adding the screenshot. 

 

In QBO, you can easily run payroll reports to view your employee data and business finances. For detailed guide, read this page: Run payroll reports.

Hello there, @dso0216. Allow me to add some information about exporting to QuickBooks Online Payroll.

 

You can review the Time details from the Weekly timesheet page. Although it's showing under the EMPLOYEES section, you can select a specific vendor from the drop-down list of names. Let me show you how:

 

1. Click on +New.

2. Under EMPLOYEES, select Weekly timesheet.

3. Pick your vendor's name from the drop-down.

4. You'll now see your vendor's time information.

Again, the employee time is syncing correctly to QBP Core from QB Time.  It is the contractor time that doesn't appear to sync.  Client has QBO Essentials if that makes a difference?

I know this is a challenging task for your contractors, @dso0216. I'll share and point you in the right direction to resolve this error in QuickBooks Online Payroll.

 

I recommend reaching out to our Support Specialists this time. So they can view and find a solution to the specific issue of why the contractor time isn't syncing to QuickBooks Time. 

 

You can reach them through these steps:

 

  1. Log into your QuickBooks account.
  2. Click the Help option in the upper-right corner.
  3. Tap the Contact Us button.
  4. Enter a brief discussion with your concern, then click Continue.
  5. Choose a way to connect with us: Get a callback.
