Join nowI am trying to figure out what to enter in the "hours accrued for hours paid" line based on employee getting the equivalent per hour accumulation of time as if he were getting 80 hrs vacation for 2080 hours worked per year but allowing for more time accrual if he works more than 2080 hours and less time accrual if he works less than 2080 hrs.
Hello there, @sjr52.
Let me share some insights about what to enter in the Hours accrued per hour paid field in your employee's vacation setup in QuickBooks Desktop (QBDT) Payroll so you can manage their time off accordingly.
There isn't a setup in QBDT Payroll that can determine if an employee reached a specific number of hours worked, for example, 2080 hours per year. You'll only be allowed to add hours accrued based on the Accrual period you choose. It should be determined or decided on your end, and then we'll help you set it up in the system.
Once you've decided how much to accrue per hour paid, go back to the Sick and Vacation window in your employee's profile to set it up.
You can also refer to this article for the step-by-step guide in setting up vacation for your employees in QBDT Payroll: Set up and track time off in payroll.
When you're done, you can run a payroll report, like Payroll Summary, from the Reports menu to track how many hours an employee has worked. Then from there, you can decide whether you add more vacation hours or not.
Once everything is all set, you may also want to check out this article as your reference to guide you in finding out why sick and vacation time accrues incorrectly and how you can fix it in QBDT Payroll: Sick and vacation time incorrect or not accruing on paychecks.
Please feel free to leave a comment below if you have other payroll concerns or questions about managing employees' sick and vacation hours in QBDT Payroll. I'm always ready to help. Take care, and I wish you continued success, @sjr52.
I'm still confused... So I entered .03846 (80 divided by 2080) and quickbooks changes that to 2:18. If I write a check for 40 hrs for the employee, it shows the weekly accrual as 1.32 but should be 1.5384 unless I'm missing something?
Ok, I changed the partial hour calculation in preferences from minutes to decimal and it's calculating correctly now but it's not changing all the previous paychecks that calculated incorrectly. Can you tell me how to correct that please?
Thank you for the update, sjr52.
The new format will only take effect on future transactions. If you'd want, you can recreate the affected transactions after changing your settings. However, please be sure to back up your company file first so you have something to restore in case something goes wrong.
