Verification file in Quickbooks desktop

We have Time Clock plus now for almost 3 years and from about the last 6 months when I have a new hire the hours do not import correctly into my QB desktop and TCP tells me the verification file in QB needs to be updated. I am not sure if they are talking about my import IIF file that I use to import into QB. Has anyone else had this issue? I am just manually putting the new hire times in but all my other long time employees time imports correctly from the time sheet. I have updated to version 24 in QB and still doesn't work.

HELP!

Run the Verify/Rebuild Data utility in your QB Desktop. Did you encounter any unresolved error messages?

I did contact TCP and that is what they told me was QB needed to update the verification file but I figured out the issue, I need to check in the new hire payroll set up to use time data to create paychecks. I have never checked this before so it must have had a update that requires that to be checked with all my new hires.

I hope this helps anyone else that has had issues with importing time from other vendors.

Yes, I did run that and came back fine. No errors. But I did figure out the issue.

The problem could be with how the IIF file is structured or how QuickBooks processes new employee records.

 

First, check if new employees are fully set up in QuickBooks before importing the file—meaning their names match exactly in both QuickBooks and TCP. Any slight difference (extra space, missing middle initial) can cause QuickBooks to reject the data.

 

Second, try opening your IIF file in Excel or Notepad and compare the entries for old employees versus new ones. Look for any missing fields, incorrect formatting, or variations in how employee data is listed.

If TCP specifically mentions the verification file, they may mean that QuickBooks' company file needs a rebuild. Try running File -> Utilities -> Verify Data and then Rebuild Data in QuickBooks to fix any underlying corruption issues.

 

Since you've updated to QuickBooks 24 and the problem persists, it might also be worth testing a manual import of a single new hire's hours using a test IIF file.
