W-2 Box 12 Code DD: QuickBooks Payroll Items are not populating correctly

Before anything else, please know that Health Coverage is only intended for the employer's contribution and won't be visible in the employee's section. To get around this, you'll want to work with an accountant to determine the appropriate tax tracking type for the employee's deduction.

 

Alternatively, you can click box 12 in the W-2 to manually override the amount when preparing the form.

You can manually add a value and the code "FF" to Box 12a on the W-2 form by using payroll item setup. Here's how to do it:
 

  1. Go to the Lists menu and select Payroll Item List.
  2. Click the Payroll Item button at the bottom left and select New.
  3. Choose Custom Setup and click Next.
  4. Select Addition and click Next.
  5. Follow the on-screen instructions to set up the item for reporting amounts under Box 12 with code FF.
     

Then, assign the Payroll Item to Employees.

I am on QuickBooks Payroll Core, so maybe I do not see those menu items?

QuickBooks Online Core Payroll does not allow manual entry of Box 12 codes, like FF, on W-2 forms. These codes are automatically generated based on the configuration of payroll items and their tax tracking throughout the year.

 

I recommend contacting our live support team to check what needs to be corrected.

  1. Click the Help icon in the upper right corner
  2. Choose Search, then type Contact Us.
  3. Select Contact US, and enter a brief description of the issue.
  4. Choose either Chat or Callback.
