Where are 2019 W-2s stored in Intuit online

Hi there, @velvet-thedoc.

Thank you for taking the time to reach out to us here on the Community page. I'm happy to show you how to locate the W-2 Form in QuickBooks Online.

Once you've saved your W2 copies for 2019, you can view or reprint them in the Archive Forms window.

Here's how:

  1. Go to the Taxes tab in the left navigation bar.
  2. Choose Payroll Tax at the top of the page.
  3. In the Form column, click the View and Print Archived Forms hyperlink under the Annual Forms section.
  4. In the Archive Forms window, filter Annual Tax Forms, then choose either W-2, Copies B, C &2, or W-3.
  5. Locate and select the W-2, Copies B, C &2, or W-3 hyperlink.
  6. Click the View button.
  7. Select the Print icon once ready to print.

If you're unable to locate it from there, I'd recommend contacting our QuickBooks Online Support team. They have the tool to archive your W2 Form for 2019.

To learn more about the W-2s as well as the archived forms, you can check out these articles:

Where are 2019 W-2s stored in Intuit online

Hello. If I don't use the intuit service since 2020, w-2 data for 2019 and 2020 is still available in the system? If I don't use intuit any more, what should I do to access to that old data?

Hello there. I got here steps to ensure you'll be able to access your old W2 data.

You can view and print your W2 forms from previous years by going to the Resources page under the Payroll Tax menu in your QuickBooks Online (QBO) account. Since you no longer use Intuit services, you can temporarily reactivate your account and cancel it later.

However, if you've already canceled your subscription previously, we only keep your data for 365 days. You can only view your data if you resubscribe during that time.

Here's how:

  1. Log in to your QBO company and select Settings.
  2. Then, under Your Company, select Account and Settings.
  3. Click the Billing & Subscription page and select Resubscribe. Then, input the updated billing information.
  4. Select Subscribe. Then, sign out and sign in again.
  5. After that, click Settings and select Account and Settings.
  6. Next, go to Billing & Subscription and check the Next charge date. If it's a date in the past, contact support to prevent back-billed charges from occurring.

Once done, refer to these steps to view or print your previous W2 form:

  1. Click the Taxes menu and select Payroll Tax.
  2. Then, choose Filings and select Resources.
  3. Next, click Archived Forms and Filings.
  4. Select the date range you need, or search the forms you need.
  5. After that, click View on the W-2 form you want to print.
  6. Select the print icon on the Reader toolbar. Then, select Print again.

For reference, please check this article: Print your W-2 and W-3 forms.

Additionally, I'll include our Tax forms page for more insights about and managing your tax forms in QBO.

You can always get back here and post other concerns you may have about managing bill workflows in QuickBooks. Have a good one and stay safe.
